Job summary

Johnson Controls is seeking a Project Coordinator to support the Washington Navy Yard operations. This role focuses on subcontract processing, project documentation, invoicing, and cost-tracking within a federal team.

You will collaborate with Project Manager and Engineering Management to ensure timely service delivery, accurate reporting, and alignment with financial commitments. The position is based in Washington, DC, with standard first shift hours.

Responsibilities

  • Supports subcontract processing, project documentation, cost tracking, and invoicing.
  • Collaborates with Project Manager/Engineering Management to ensure delivery and reporting.
  • Completes admin tasks to meet customer expectations and financial commitments.
  • Supports new contracts and changes to contracts; manages service tickets and orders.
  • Assists in subcontract generation, document management, and invoicing.
  • Manages project documents, submittals, proposals, and closeout checklists.
  • Produces submittal packages for technicians, engineers, or customers.
  • Assists with procurement and tracking of materials.
  • Schedules costs and dates; enters project data as directed.
  • Supports safety programs and toolbox training; ensures safety equipment.

Job Description

We are seeking a Project Coordinator to join our federal team supporting the Washington Navy Yard in Washington D.C. (military friendly, but experience not required). Our dedicated team here oversees and maintains the HVAC mechanical and Building Automation Systems (BAS) across the base, which includes HVAC controls, metering systems, utilities systems, and some fire and security systems.

Pay Range: $31.00 - $38.00 per hour. Negotiable based on experience.

Shift: First shift/day shift, Monday-Friday

Benefits: Eligible for benefits on first day of employment

Vacation: 3 weeks of paid vacation per calendar year

As a Project Coordinator, You Will
  • Supports the business activities such as subcontract processing, managing project documentation, support of booking or cost tracking system entry, and customer invoicing
  • Works with Project Manager and/or Engineering Management to ensure consistent delivery of services and internal financial commitments. Researches and obtains information for reports, tasks and assignments
  • Completes the delivery of project or sales related administrative tasks to ensure customer expectations and internal project financial commitments are met
  • Supports new contracts and manages any changes to existing maintenance and service, retrofit or PSA contracts, Labor and Material tickets, and service order management tickets
  • Assists with the subcontract process. Assists project management by generating the subcontracts online or using templates. Organizes subcontractor documentation such as waivers, certificates of insurance, wrap ups, and bonding information. Manages subcontractor invoices by releasing for payment or researching payment problems.
  • Manages project documentation files. Gathers documents such as submittal documentation, customer communication, subcontracts documents, and proposals. Completes project closeout checklists including as-builts, final invoicing to the customer, warranty letters, project books and training documentation.
  • Produces submittal packages for use by technicians, engineers or the customer. Gathers documents such as network flow diagrams, room schedules, project bill of materials, etc
  • Assists with procurement of materials utilizing electronic purchasing/ordering tools to enter and track project materials
  • Works with project management to ensure cost scheduling and re-estimates are entered into the tracking system. Enters project dates, schedules, and contract costs as directed
  • Assists management in the coordination of safety programs. Verifies that monthly toolbox training and safety reporting are completed. Works with project management to ensure employees have the proper safety equipment
  • Performs other duties as required to support the project team
Required Qualifications
  • Experience supporting project related teams in the construction or building maintenance industry,
  • Proficient computer skills with general Windows environment, Microsoft Office software, and email
  • Must have strong interpersonal skills to effectively communicate with both internal and external clients
Preferred Qualifications
  • Experience working with government contracting
  • Experience working with scheduling of labor and materials
  • Knowledge and proficiency with HVAC equipment and related systems
  • Proficiency working with Microsoft Project
  • Advanced skills working with Microsoft Excel
  • Ability to prioritize work activities based upon financial impact to desired business goals
  • The ability to obtain and maintain required government security clearances and/or badges as required to perform site duties. (This involves a background/character, criminal history, employment, and credit check.)
Preferred Education
  • High School Diploma or equivalent required. Associates Degree (or higher) preferred.
  • Experience and/or basic project accounting or costing principals
