Job summary

Pace Analytical Services, LLC is seeking an administrative support specialist to assist project management and sample receiving while delivering strong client service across accounts. You will handle standard PM forms, review materials, and help coordinate resources and responses under supervision.

Responsibilities include supporting client communications, tracking sample check-in, monitoring analysis status, and assisting with invoicing and budget elements as required.

Qualifications

  • High School Diploma or GED with 2 years of admin support experience.
  • Knowledge of department policies, laws and regulations.
  • Ability to prepare basic reports and correspondence.

Responsibilities

  • Review and process project management forms, documents and databases.
  • Provide interpretation and guidance on PM policies and practices.
  • Respond to client inquiries and coordinate resources as needed.
  • Assist with client contact, sample check-in, status monitoring and invoicing.
  • Direct client calls to the appropriate project manager.
  • Contribute to project objectives, budgets, timelines and materials.

Shift: Monday-Friday, 8:30AM - 5:30PM

Compensation: $18.50 per hour

Summary

Responsible for providing administrative support to project management and sample receiving as well as providing customer service to all clients.

Essential Functions
  • Overseeing or reviewing, completing and processing various types of standard project management forms, documents, databases, and related materials and information.
  • Provides fundamental interpretation and counsel to staff, management, and functional leaders regarding project management policies, programs and practices for standard operations.
  • Provides standard research, feedback and decisions to resolve management and employee questions and requirements; assists with receiving customer feedback and coordinating resources and responses as required.
  • Assists with projects involving client contact, verification of accurate check-in of samples, monitoring status of analysis, providing response to client inquiries, and invoicing client, as determined by the supervisor.
  • Directs client calls and requests to appropriate project manager for follow-up.
  • Assists with developing or participating in project management or cross-functional project or program objectives, which includes proposed budgets, timelines, materials, personnel, and other project requirements, receives direction and presents information to management.
  • Interprets and applies department policies and procedures and assists with applicable laws, rules, and regulations; receives guidance within these areas as needed.
  • Contributes to the efficiency and effectiveness of the department's service to its customers by offering suggestions and directing or participating as an active member of a work team.
  • Promotes and supports the overall mission of Pace Analytical by demonstrating courteous and cooperative behavior when interacting with customers and staff; acts in a manner that promotes a harmonious and effective workplace environment.
Qualifications

Education and Experience: High School Diploma/GED; AND two (2) years of administrative support experience; OR an equivalent combination of education, training and experience.

Required Certificates, Licenses, and Registrations: Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

Work is performed in a lab and office setting. Work is subject chemicals, fumes, gasses, noxious odors and related items in a lab setting.
