Artemis Arc is seeking a Project Coordinator to provide flexible, cross-functional support across TSA recruitment marketing and advertising contract activities. Working with the Program Manager, the role keeps day-to-day execution moving across recruitment marketing, creative development, media, job boards, events, logistics, reporting, and client coordination.

Remote work is anticipated with occasional travel.

Qualifications

  • At least one year of experience in project coordination or related field.
  • Bachelor’s degree in business, communications, marketing, or related field.
  • Ability to manage multiple workstreams and re-prioritize quickly.
  • Experience maintaining schedules, logs, and deliverable records.
  • Experience coordinating with cross-functional teams and clients.

Responsibilities

  • Provide day-to-day coordination, administrative, and operational support across contract workstreams based on project priorities and client needs.
  • Support development and maintenance of the TSA Media and Recruitment Strategic Plan, campaign media plans, and deliverables.
  • Provide backup and surge support for recruiting events and logistics, including registrations and venue coordination.
  • Maintain accurate project trackers and records for deliverables, milestones, risks, and action items.
  • Support bi-weekly status reports and monthly program reviews with updates and metrics.
  • Schedule and support internal and client meetings; prepare agendas and materials; capture notes and decisions.

Job Summary

The Project Coordinator provides flexible, cross-functional support across all TSA recruitment marketing and advertising contract activities. Working closely with the Program Manager and workstream leads, the role helps wherever needed to keep day-to-day execution moving, including recruitment marketing and advertising, creative development, media and job board activities, events and logistics, performance reporting, quality control, client coordination, documentation, and transition support. The Project Coordinator must be highly organized, responsive, and able to shift quickly among priorities in a fast-paced federal environment.

This is a contingent hire position.

Offers will be contingent upon client approval, ability to meet security requirements, and the ability to adhere to any on-site requirements (which may change at contract award).

Remote work is anticipated. However, occasional travel for client engagements may be required.

Primary Responsibilities
  • Provide day-to-day coordination, administrative, and operational support across all contract workstreams based on project priorities, client needs, and emerging requirements.
  • Support development and maintenance of the TSA Media and Recruitment Strategic Plan, campaign media plans, and other contract deliverables by coordinating inputs, conducting research, updating schedules, routing materials for review, and tracking approvals.
  • Provide backup and surge support for recruiting events and logistics, including event research, registrations, venue coordination, shipment tracking, supply and inventory records, and maintenance of the weekly event schedule.
  • Maintain accurate project trackers and records for deliverables, milestones, deadlines, risks and issues, action items, client comments, approvals, Government-furnished equipment and information, shipments, inventory, and transition activities.
  • Support bi-weekly Project Status Reports and monthly Program Management Reviews by collecting and organizing updates, campaign metrics, candidate sourcing and recruitment information, schedule and budget inputs, risks, mitigation actions, and follow-up items.
  • Schedule and support internal and client meetings; prepare agendas and materials, capture notes and decisions, track action items, and follow up with owners to keep work moving on schedule.
  • Assist with quality control, document management, knowledge transfer, transition-in and transition-out activities, and other rapid-turn or ad hoc requests needed to support successful contract performance.
Minimum Qualifications
  • At least one (1) year of experience supporting project coordination, program operations, marketing, advertising, communications, events, or a related function.
  • Bachelor’s degree in business, communications, marketing, project management, or a related field.
  • Demonstrated ability to support multiple concurrent workstreams and shift between priorities, assignments, and functional areas as project needs change.
  • Experience maintaining project documentation such as schedules, action-item trackers, deliverable logs, meeting materials, reports, presentations, files, or approval records.
  • Experience coordinating with cross-functional teams, clients, vendors, or other stakeholders and following tasks through completion.
  • Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, and Teams, to support project documentation, reporting, and collaboration.
  • Ability to obtain and maintain a Public Trust clearance and legal authorization to work in the U.S.
