The role requires organizational excellence, strong communication, and the ability to travel to job sites as needed. A high school diploma and administrative experience are essential for success.

Qualifications

• High school diploma or equivalent.
• 2+ years of administrative support.
• 1 year of experience in construction management, restoration, or project coordination preferred.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite.
• Strong organizational and time management abilities.
• Valid driver's license.
• Ability to lift up to 50 lbs and perform outdoor site work.

Responsibilities

• Coordinate restoration and construction projects to ensure safe, timely, and successful completion.
• Prepare and maintain project documentation with accuracy and compliance.
• Monitor progress, budgets, and schedules; propose adjustments as needed.
• Assist with budgets, invoices, purchase orders, and tracking expenses.
• Organize project meetings with agendas, minutes, and action-item follow-ups.
• Ensure required documents (Work Authorizations, Certificates of Satisfaction) are filed.

Overview

We are seeking a motivated Project Coordinator to join our growing team! The Project Coordinator is responsible for supporting the planning, coordination, and execution of restoration projects involving water, fire, mold, and other property damage. This role serves as a key liaison between clients, technicians, subcontractors, and project managers to ensure projects are completed on time, within budget, and to quality standards. The Project Coordinator manages project documentation, scheduling, communication, and administrative processes throughout the project lifecycle.

Key Responsibilities and Duties

• Coordinate large-scale restoration and construction projects to ensure safe, timely, and successful completion of all projects.
• Prepare and maintain product documentation while maintaining accuracy and compliance with project requirements.
• Monitor project progress, budgets, and schedules, recommend adjustments as needed.
• Assist with the preparation of project budgets, invoices, purchase orders, and track project expenses to ensure budget alignment.
• Organize project meetings, including preparing agendas, taking minutes, and following up on action items.
• Ensure Work Authorizations, Certificates of Satisfaction, and other required documents are obtained and properly filed.
• Support project managers in identifying and resolving issues, risks, and delays to ensure project stays on schedule.
• Travel to job site as needed.
• Perform other duties as assigned.
