Essential Job Duties

The department of Psychology is seeking a project coordinator to assist with an NIH-funded research initiative through May 31,2027, with the possibility to continue in this role if new grant funding is awarded. In this role you will coordinate complex, multi-institutional research activities and ensuring project goals, deliverables, and collaborative commitments are achieved within established timelines and resource constraints. Working across research teams and institutional partners, you will coordinate project operations, manage workflows, and maintain the administrative and data infrastructure needed to support successful grant execution. You will serve as a key point of coordination among investigators and stakeholders, anticipating needs, resolving logistical challenges, and keeping priorities on track. Through thoughtful communication, organization, and follow-through, you will support critical administrative responsibilities, strengthen collaboration, and ensure research teams have the coordination and infrastructure needed to advance the initiative’s objectives and successfully meet project milestones.

Key responsibilities will fall within the following functional areas

Project Management

• Collaborate with investigators, operational users, and subject matter experts to understand research and operational needs and support solutions that advance project objectives.
• Establish and track project deliverables, milestones, timelines, and reporting requirements across multiple collaborating teams and institutions.
• Coordinate project roles, requirements, review cycles, and dependencies to maintain alignment with NIH priorities, project goals, and resource constraints.
• Facilitate the preparation, organization, and ingestion of study metadata and related documentation into an online data portal while supporting compliance with data-sharing and documentation standards.
• Monitor project progress, identify emerging risks and operational challenges, and recommend practical mitigation strategies to project leadership and investigators.
• Lead and document project status meetings, communicate project updates, and prepare summaries and materials for investigators, advisory groups, and funding agencies as needed.
• Maintain visibility into project activities, deliverables, schedules, and operational needs while promptly communicating issues and coordinating solutions with project participants.

Operations & Administrative Management

• Coordinate with institutional administrative and financial personnel to support subaward and independent contractor onboarding, agreement processing, invoicing, and related documentation.
• Assist with preparing and processing independent contractor agreements and other project-related administrative materials.
• Develop and maintain workflow documentation and repeatable practices that promote consistent communication, collaboration, and efficient project operations.
• Coordinate workshops, stakeholder meetings, training events, and collaborative research activities that support project goals and engagement across participating teams.
• Prepare post-event reports and summaries documenting participation, outcomes, recommendations, and follow-up actions.
• Partner with project leadership to identify, coordinate, and monitor resources needed to support project activities and strategic priorities.

Minimum Education and Experience

Master’s degree in Public Health, Gerontology, Psychology, Health Policy, Biomedical Sciences, or a related field is preferred. A bachelor’s degree with significant relevant experience will also be considered. All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

• Knowledge of project management practices, including coordinating timelines, deliverables, milestones, and competing priorities across multiple stakeholders.
• Familiarity with research coordination and administrative processes, including grant activities, reporting requirements, project documentation, and collaboration across research teams.
• Proven ability to coordinate complex projects involving multiple teams, institutions, or stakeholders while maintaining communication and keeping activities on track.
• Experience organizing and analyzing complex information, identifying project risks or operational challenges, and coordinating timely solutions.
• Understanding of federally funded research environments, including NIH funding processes, research resources, and databases such as NIH RePORTER.

Preferred Qualifications

• Analytical and research skills, including the ability to identify, evaluate, and synthesize information from large datasets and federal research repositories.
• Organizational and project management skills, with experience coordinating meetings, workshops, and large-scale events involving multiple stakeholders.
• Excellent written and verbal communication skills, including experience developing newsletters, reports, outreach materials, or other communications for research collaborators.
• Proficiency with project tracking tools (e.g., Excel, Asana, Trello) and virtual collaboration platforms (e.g., Zoom).
• Experience managing multiple deadlines, maintaining detailed project and engagement records, and working independently and collaboratively with academic and federal partners.
• Prior training or certification in project management ( e.g., PMP, CAPM)
