Job summary

Toole Design, a Portland-based design firm, seeks a Project Coordinator to support our Project Operations team. You will help keep project information organized, manage administrative processes, and assist with invoicing and compliance across departments.

Ideal candidates have 3–5 years in a business environment or project coordination, strong Excel/Office skills, and attention to detail. This role offers a hybrid schedule with competitive pay and benefits.

Qualifications

  • 3–5 years of experience in a business environment, project coordination, or administrative support role.
  • Basic knowledge of project management principles
  • Basic understanding of Accounts Payable/Receivable processes strongly preferred
  • Strong proficiency with Microsoft Excel and the Microsoft Office Suite
  • Experience working with an ERP system (Deltek Vantagepoint preferred but not required)
  • Experience with Supplier Diversity Management software is preferred but not required
  • Excellent organizational, time management, and problem-solving skills
  • Exceptional attention to detail and accuracy
  • Strong written and verbal communication skills
  • A collaborative, service-oriented approach and the ability to manage multiple priorities in a fast-paced environment

Responsibilities

  • Provide project coordination and administrative support that helps our project teams stay organized, accurate, and on schedule.
  • Assist with project setup, documentation, compliance tracking, invoicing support, and coordination across multiple departments.
  • Ensure project information is current and complete.
  • Maintain a service-oriented approach and attention to detail in all tasks.

What You'll Do

As a Project Coordinator, you'll provide project coordination and administrative support that helps our project teams remain organized, accurate, and on schedule. What You Bring

We are targeting a salary range of $61,000 to $71,000 for this position with flexibility for well-qualified candidates.
