Stantec is seeking a Project Coordinator / Program Administrator for our Chandler, AZ office to support multiple mining projects. You will coordinate meetings, travel, and events, act as the office liaison for clients and service providers, and assist with proposals and reporting.

Qualifications

  • Proven proficiency with Microsoft Office and presentation tools (Word, Excel, PowerPoint, Outlook, Visio, Adobe Professional).
  • Flexible and highly organized with the ability to meet conflicting deadlines.
  • Aptitude with numbers and basic accounting; Accounts Payable experience.
  • Willingness to overtime occasionally to meet deadlines; capable of independent and team work.
  • Strong verbal and written communication skills.
  • Office attendance five days per week.
  • Experience with InDesign is a plus.

Responsibilities

  • Coordinate with project team across North America to facilitate meetings and travel.
  • Office point-of-contact for clients and engineers to coordinate meetings and events.
  • Support proposals with marketing and administration staff.
  • Maintain HSSE goals and achieve >85% utilization.
  • Handle correspondence, schedules, minutes, reports and contracts.
  • Organize and document project and team meetings; track action items.
  • Create and maintain project schedules and deliverables.
  • Manage filing and information retrieval for project execution.
  • Prepare specifications and proposals; edit for completeness.
  • Process expense reports and timecard entries via Oracle.
  • Support progress payments and change orders with PMs and contractors.
  • Prioritize multiple tasks and manage calendars; resolve scheduling conflicts.
  • Perform other duties as requested.

Your Opportunity

We are currently seeking a Project Coordinator / Program Administrator with strong multi-tasking, interpersonal, organizational and communication skills to provide administrative, operational and project related assistance to support several projects for a large mining client in our Chandler, Arizona office. This position is ideal for an individual who is an organized and motivated self-starter and takes pride in keeping a team well organized, running smoothly and can “think ahead”.

Your Key Responsibilities

In this position, you will be responsible for diverse functions that include, but are not limited to the following:

  • Coordinate with our project team across North America to facilitate meetings, coordinate travel and events, and support the internal execution of fast-paced, multi-discipline engineering.

  • Act as the office point-of-contact for clients and Engineering Service Providers to coordinate meetings, support networking events, and support the management team with external project coordination.

  • Work with Project Managers, Marketing, and other Administration staff to develop successful proposals that differentiate us from the competition.

  • Meeting HSSE goals and targets and personal project utilization requirement (>85%)

  • Liaise with staff members and assisting with project administration including:

  • Correspondence, schedules, minutes, spreadsheets, letters, reports, presentations, database lists, specifications, contracts, etc.

  • Organize, attend, and document project and team meetings including the coordination and tracking of action items and deliverables.

  • Create and maintain project schedules and deliverables, as requested.

  • Organize and manage aspects of filing and information retrieval related to project execution, business opportunities, and client management needs.

  • Collate and format specifications and proposals, edit and proofread for completeness.

  • Process expense reports and timecard administration through the oracle system.

  • Work with project managers and contractors on contract progress payments and change orders.

  • Provide follow up in a timely manner and prioritize/sequence multiple tasks.

  • Manage Outlook Calendars, set appointments, schedule meetings, identify potential scheduling conflicts and work collaboratively with others to resolve them.

  • Performing other duties as requested.

Qualifications
Your Capabilities and Credentials

We are seeking a self-motivated individual who ideally has experience working in an engineering or mining consulting firm, who has a demonstrated ability to learn quickly and adapt to new software tools and processes. Additional qualifications include:

  • Proven proficiency using Microsoft Office and presentation support tools, specifically Word, Excel, PowerPoint, Outlook, Visio, and Adobe Professional.

  • Flexibility and excellent organization skills to complete multiple tasks with conflicting deadlines.

  • Aptitude in working with numbers and general accounting experience; Accounts Payable.

  • Willingness to work overtime occasionally in order to meet deadlines. - Ability to work independently and in a dynamic team environment is required.

  • Good communication skills, both verbal and written.

  • Self-motivated and strong attention to detail.

  • This position requires the individual to be in the office 5 days a week.

  • Experience using Adobe Design Standards, specifically, InDesign, is a plus, but not a requirement.

Education and Experience
  • Experience organizing and improving program and project processes is desired.

  • Demonstrated experience working in a fast-paced work environment with multiple stakeholders is an asset.

  • Minimum of 8 - 10 years of experience working in a professional office environment.
