Job Description
SUMMARY OF PRIMARY FUNCTION

The Project Coordinator coordinates the implementation and continuous improvement of programs, services, and initiatives within Migrant Education Services, including the Midwest Migrant Education Resource Center (MMERC). The position supports effective, compliant service delivery by coordinating program activities, assisting with data entry and eligibility verification, and aligning resources to meet the needs of staff, participants, and families. Working collaboratively with staff and partners, the coordinator develops and coordinates program services and related activities, supports career exploration and workforce-related services, and leads outreach and marketing efforts to increase awareness and engagement using communication strategies such as social media, newsletters, presentations, and other outreach methods. The position manages MMERC operations, including the organization, circulation, and tracking of instructional and support resources, ensuring timely access and efficient distribution. The coordinator supports volunteers and staff, provides guidance on program processes, and directly connects participants to instructional and support resources available through MMERC. The position also maintains accurate records, supports data-related processes, ensures confidentiality and compliance, and develops program documentation, including manuals and resource guides, to support consistent implementation and access to services.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Program and Project Coordination
  • Coordinate the implementation and continuous improvement of programs, services, and initiatives within Migrant Education Services.
  • Develop and coordinate program services, including short-term projects and activities such as engagement events, college experiences, workshops, and family activities.
  • Identify and compile educational opportunities, including programs, camps, and enrichment experiences, and support access to these opportunities.
  • Coordinate career exploration and workforce-related services, including employment preparation, training opportunities, internships, and financial literacy.
  • Collaborate with schools, colleges, and partner organizations to plan and implement services and activities.
  • Support alignment of program activities with participant needs and organizational priorities and assist in evaluating effectiveness.
  • Identify, pursue, and assist in the preparation and submission of grant proposals and other funding opportunities to support program growth and sustainability.
Resource Center and Materials Management
  • Manage the Midwest Migrant Education Resource Center (MMERC), including organization, circulation, and tracking instructional and support resources.
  • Oversee processing of resource orders, including pulling, packing, shipping, and returns.
  • Maintain accurate inventory and accessibility of materials through the data system (i.e.: Destiny Manager).
  • Coordinate outgoing and incoming materials and ensure efficient distribution.
  • Compile and report resource usage and gather feedback to improve availability and utilization.
Outreach, Marketing, and Engagement
  • Lead outreach and marketing efforts to promote programs, services, resources, and opportunities.
  • Increase awareness through meetings, presentations, conferences, community engagement activities, and digital outreach.
  • Develop and manage communication strategies, including social media, newsletters, presentations, and other communication channels.
  • Collaborate with staff and partners to create and distribute promotional materials and messaging.
  • Present information on programs, resources, and opportunities to participants, families, staff, and stakeholders.
Partnerships and Resource Coordination
  • Collaborate with school districts, colleges, community organizations, and partner agencies to coordinate services and resources.
  • Connect staff and partners to available programs, services, and resource networks.
  • Connect participants, families, and stakeholders directly to instructional and support resources available through MMERC.
  • Support development and strengthening of partnerships to expand access to services and opportunities.
Data Entry, Records, and Compliance Support
  • Enter, review, and update program data and participant records in required systems, including MIS2000.
  • Verify participant eligibility, enrollment, and service information.
  • Maintain accurate and complete records in accordance with program requirements.
  • Ensure confidentiality of participant information and compliance with FERPA and related regulations.
  • Assist with system updates and data-related processes as needed.
Reporting, Quality Assurance, and Continuous Improvement
  • Compile data, summaries, and reports related to program services, participation, and resource usage as requested.
  • Monitor program activities and resource utilization to ensure accuracy, consistency, and quality of service delivery.
  • Identify trends, gaps, and areas for improvement and provide recommendations to strengthen programs and services.
  • Gather feedback from participants, staff, and partners to support continuous improvement efforts.
  • Assist in preparing documentation for reporting, program monitoring, and internal review processes.
Staff, Volunteer, and Program Support
  • Provide support to program staff, school personnel, and stakeholders to facilitate effective service delivery.
  • Recruit, train, and coordinate volunteers and interns.
  • Provide guidance on processes related to accessing, ordering, and utilizing resources.
  • Develop and maintain program documentation, including manuals, resource guides, and instructional materials.
  • Establish and refine processes related to program coordination, resource management, and service delivery to support consistency and efficiency.
MINIMUM REQUIREMENTS
  • Associate degree in education, human services, communications, business, or a related field, or a combination of education and relevant experience demonstrating the required knowledge and skills.
  • Demonstrated ability to support or coordinate programs, services, or activities.
  • Demonstrated ability to support outreach, marketing, or communication efforts.
  • Strong organizational skills with the ability to manage multiple priorities and maintain attention to detail.
  • Ability to communicate effectively with diverse audiences, both verbally and in writing.
  • Proficient computer skills, including Microsoft Word, Excel, PowerPoint, email, and internet use, with the ability to learn program-specific systems.
  • Basic data entry and record‑keeping skills, with the ability to maintain accurate information and ensure confidentiality.
