Job summary

Bayport Laboratories is seeking a motivated Project Coordinator to support product launches and strategic initiatives in the cosmetics industry. This role focuses on coordinating with internal teams, suppliers, and customers to meet timelines, cost targets, and quality requirements.

The position involves assisting the PD/ Project Manager, tracking timelines, preparing quotations, and ensuring packaging standards.

Qualifications

• Bachelor’s degree preferred or equivalent experience in a related field.
• 2–3 years of experience in project coordination or a similar role, preferably within manufacturing or cosmetics.
• Proficiency in Microsoft Office Programs (Outlook, Excel, and Word) is required.

Responsibilities

• Define project scopes and objectives with stakeholders and ensure technical feasibility.
• Track project timelines and deliverables, updating internal systems and stakeholders regularly.
• Support the PD/ Project Manager in maintaining packaging standards and quality requirements with customers.
• Assist in the preparation of program quotations, timelines, customer files, and Purchase Orders.
• Coordinate with different teams to facilitate meetings and gather necessary project inputs.
• Monitor project changes and help manage adjustments to scope, schedule, and costs using appropriate verification techniques.
• Provide administrative support in reviewing development samples, QA pieces, and production samples to ensure quality standards.
• Communicate effectively with clients to address inquiries and resolve issues promptly.
• Assist in ensuring compliance with project timelines, especially in packaging and formula development stages.
• Perform other duties as assigned by the PD/ Project Manager to support project success.

POSITION PURPOSE

The Project Coordinator supports the PD/ Project Manager in managing customer relations and projects by coordinating with internal teams, suppliers, and customers. This role is crucial in maintaining clear communication, tracking project progress, and ensuring that customer requirements and timelines are met. The Project Coordinator works closely with sales staff, clients, and cross-functional teams to assist in the successful launch of products, focusing on timelines, cost management, and quality control.
