Job summary

Harvard University is seeking a Project Coordinator for the Park Laboratory within the Department of Biomedical Informatics. This one-year term position supports administrative and financial tasks, coordinating with 30-35 scientific staff, postdocs, and graduate students.

You will work with Harvard administrators, manage onboarding, budgets, and data agreements, and help update the lab website. Some duties may be performed at a non-Harvard location in a hybrid setup.

Qualifications

  • Three years of related administrative/coordination experience required.
  • Bachelor's degree strongly preferred.
  • Experience with Harvard financial/administrative systems a plus (Concur, Office, Google Workspace, Adobe Acrobat, Confluence).
  • Ability to handle confidential information with discretion and work independently.

Responsibilities

  • Coordinate daily project activities and paperwork for data acquisition from other institutions and NIH.
  • Schedule meetings with internal and external collaborators and coordinate lab travel.
  • Provide day-to-day operations management and administrative support to Dr. Park and the laboratory.
  • Draft and edit project proposals and budgets, assist hiring and onboarding processes.
  • Track grants, manage lab expenses with grants manager, and liaise with Harvard administrators.
  • Update the lab website with publications, people profiles, and news.
  • Place catering and supply orders and support courses taught by Dr. Park.

About the Department of Biomedical Informatics:

Based on the Harvard Medical School Longwood Campus, the Department of Biomedical Informatics is a vibrant community of scientists, physicians, students, engineers, and staff whose goal is to advance the boundaries of knowledge in computational biology and precision medicine. Dr. Peter Park is seeking a strong applicant for the position of Project Coordinator for the Park Laboratory. This person will help with administrative matters related to the many projects in the laboratory and work closely with the 30-35 scientific staff, postdoctoral fellows, and graduate students. This individual will also work closely with other administrators within the Department and Harvard Medical School as well as with colleagues outside of the university.

Project Coordinate responsibilities Include:
  • Coordinates daily activities of the projects, which include the following tasks:
    • Paperwork for data acquisition from other institutions and NIH.
    • Scheduling meetings with both internal and external collaborators.
    • Coordinating conference travel and logistics for lab members.
  • Provides day to day operations management, event planning, as well as administrative support to Dr. Park and his laboratory.
  • Effectively and accurately communicates relevant project information to the project teams.
  • Assists with the drafting and editing of project proposals and budgets.
  • Assists with the hiring process for new openings in the lab and coordinates all onboarding processes including paperwork, ordering computer equipment/peripherals, and setting up new accounts.'
  • Plans, organizes and provides administrative and financial support using independent judgment and discretion in planning, prioritizing and organizing work.
  • Independently works with the grants manager in ensuring that lab expenses are entered accurately and funds are used appropriately.
  • Independently interacts with outside constituencies such as Harvard administrators, faculty, and business partners.
  • Schedules and participates in calls and meetings on a regular basis; schedules and conducts calls and phone conferences as needed.
  • Keeps Dr. Park and others informed about project status and issues that may impact progress.
  • Provides administrative support for the courses that Dr. Park teaches.
  • Serves as the primary contact between the laboratory and legal team, managing the full lifecycle of data agreements including updating databases and tracking deadlines.
  • Update the laboratory website with new content including publications, people profiles, and news.
  • Places catering and supply orders for the laboratory and department as needed.
Basic Qualifications:
  • Three years' related administrative, coordination or related experience required. Higher education may count towards experience.
Additional Qualifications and Skills:
  • Bachelor's Degree strongly preferred.
  • Experience with Harvard financial and administrative systems a plus (Concur, Microsoft Office, Google Workspace, Adobe Acrobat, Confluence).
  • Experience handling complex and confidential information with discretion.
  • Ability to work independently on assignments.
  • Detail oriented. Interpersonal skills/demonstrated ability to work as a team member.
  • Ability to manage multiple projects and activities in a very busy work environment that is often deadline driven.
  • Strong written and communication skills.
  • Ability to self-determine priorities.
  • Term: This is a one-yearterm position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
  • Standard Hours/Schedule: 37.5 hrs. per week | Monday - Friday | 8:30 am - 5:00 pm

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
