Job Description

Seeking Project Coordinator

Knauss Property Services is looking for a Project Coordinator who thrives in a fast-paced, detail-driven environment. This role is the bridge between our field teams, clients, and leadership ensuring that estimates, invoicing, procurement, and client communications are handled with accuracy and professionalism.

What You’ll Do (Roles & Responsibilities)

  • Handle company operations systems, including CRM, Computerized Maintenance Management System, and procurement platforms
  • Input and send estimates in the CRM; manage follow-up calls, emails, and text reminders
  • Input and send invoices in the CRM; manage follow-up communications to ensure timely payment
  • Register company information into client/vendor software portals
  • Manage multiple procurement and contract systems, ensuring compliance and updates
  • Audit, edit, and organize company data for accuracy
  • Build and document workflows that fit our company structure
  • Act as a coordinator — communicating with clients, subcontractors, and field teams to ensure jobs move from start to finish smoothly
  • Deliver above-and-beyond client experiences, including collecting reviews after project completion
  • Write a detailed daily log to keep the leadership team informed

Skills & Qualities We’re Looking For

  • Excellent phone presence and professional communication skills
  • Comfortable making 20–40 calls per sitting, following playbooks, and capturing accurate notes
  • Strong typing and computer skills (CRM, spreadsheets, procurement systems)
  • Highly organized and detail-oriented
  • Ability to juggle multiple projects and priorities at once
  • Self-starter and self-manager — thrives without micromanagement
  • Ability to coordinate between clients, field teams, office HQ, and CEO seamlessly

Work Schedule & Compensation

  • Full-time position
  • $28.00 - $31.00 per hour
  • No health benefits provided
  • Work hours: 8:00 AM – 4:00 PM (8-hour day) OR 8:00 AM – 4:30 PM with a 30-minute unpaid lunch break
  • Audio and video surveillance are in place in all areas except private spaces (bathrooms)
