Job summary

True North Energy Solutions is seeking a Project Coordinator to drive construction projects from inception to closeout. You will collaborate with PMs, customers, vendors, and internal teams to keep schedules on track, budgets in line, and permits approved.

The role emphasizes scheduling, budgeting support, and proactive problem-solving in a fast-paced environment. Excellent communication and organizational skills are required. Full-time on-site position.

Qualifications

  • 2+ years of project coordination, construction administration, or related experience preferred.
  • Experience with scheduling, permitting, or projects is highly desirable.
  • Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Teams.
  • Experience with project management software is a plus.
  • Excellent organizational, communication, and time-management skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Maintain and update project schedules, timelines, and milestones.
  • Coordinate project activities between PMs, Service, Warehouse Team, and field teams.
  • Schedule project meetings and provide status updates to leadership.
  • Communicate scheduling information and project updates with customers.
  • Track critical project deadlines and proactively address delays or scheduling conflicts.
  • Assist with monitoring project budgets and expenditures.
  • Update budget reports and identify potential cost overruns.
  • Ensure project documentation aligns with approved budgets and project scopes.
  • Verify permit requirements for projects in various jurisdictions.
  • Prepare, submit, and track permit applications.
  • Coordinate with local municipalities, inspectors, and regulatory agencies as needed.
  • Maintain permit records and ensure all required approvals are obtained prior to project execution.
  • Assist with preparing customer quotes and project proposals.
  • Gather pricing information from vendors and subcontractors.
  • Help ensure estimates are accurate and properly documented.
  • Maintain accurate project files, records, contracts, permits, and correspondence.
  • Prepare project status reports and distribute updates to leadership
  • Support continuous improvement of project management processes and procedures.
  • Provide timely responses to customer inquiries and requests.
  • Conduct customer satisfaction follow-ups upon project completion.
  • Document customer feedback and communicate improvement opportunities to management.
  • Help ensure a positive customer experience from project kickoff through closeout.

True North Energy Solutions is seeking a highly organized and detail-oriented Project Coordinator to support the successful execution of construction projects from inception through completion. The Project Coordinator will work closely with project managers, customers, vendors, and internal departments to ensure projects remain on schedule, within budget, properly permitted, and delivered with a high level of customer satisfaction. This role requires strong communication, problem-solving, and organizational skills, along with the ability to manage multiple projects and priorities simultaneously.

Key Responsibilities
Project Coordination & Scheduling
  • Maintain and update project schedules, timelines, and milestones.
  • Coordinate project activities between PM’s, Service, Warehouse Team, and field teams.
  • Schedule project meetings and provide status updates to leadership.
  • Communicate scheduling information and project updates with customers.
  • Track critical project deadlines and proactively address delays or scheduling conflicts.
Budget & Cost Tracking
  • Assist with monitoring project budgets and expenditures.
  • Update budget reports and identify potential cost overruns.
  • Ensure project documentation aligns with approved budgets and project scopes.
Permitting & Compliance
  • Verify permit requirements for projects in various jurisdictions.
  • Prepare, submit, and track permit applications.
  • Coordinate with local municipalities, inspectors, and regulatory agencies as needed.

Estimating & Quoting Support
