Job summary

RennickBarrett Recruiting seeks a Project Coordinator for a one-year contract in California. You will coordinate projects, schedules, and multiple disciplines to meet cost, quality, and schedule objectives while supporting the project manager.

Duties include preparing budgets, tracking expenditures, coordinating procurement, negotiating contract terms, and reporting status to leadership. Occasional site visits and compliance tasks may be required.

** This is a one (1) year contract assignment**

** PLEASE READ**
Some of the activities this employee will be performing are: Request informal quotes from prequalified engineering consultants; process requests for SA as needed; monitor engineering consultants’ performance, schedule and deliverables, process invoices; log and distribute engineering RFIs as well as monitor and follow up to deadlines; coordinate activities related to the research of new material and equipment, and alternate manufacturers for substation equipment; assist with site visits and inspections, and with other administrative issues concerning projects in design phase.

** Primary Function**

Under general direction, coordinates assigned projects to meet cost, quality, and schedule objectives.

  • Plans, schedules, and coordinates one or more projects involving multiple tasks and disciplines, employees and contractors.
  • Works in conjunction with a project manager to monitor and report status on projects that may include analysis, permitting, engineering design, construction, testing and implementation of new facilities to enhance current and future business processes within the district.
  • Performs other duties as assigned.

** Distinguishing Characteristics**

This position is distinct in terms of the required level of expertise in project management, contracts, Water and Energy Department operations, engineering (civil, electrical, or information systems engineering), the management of multiple business disciplines (accounting, economic analysis, financing, and marketing), and in communication skills.

Progression to the next level is not automatic and will depend on vacant positions at the higher level.

The incumbent may be required to provide information on projects to Board of Directors, Advisory Committees or other related committees

** Essential Duties and Responsibilities**

  • Assists in developing project definitions, plans, and scopes of work on various district projects; maintains quality standards of performance, functionality, and cost; directs, coordinates, and reviews all deliverables specified in the project definition.
  • Assists in developing project schedules, monitoring progress, and completing projects on schedule; produces periodic status reports for project participants and to update management on progress.
  • Assists in developing proposed project budgets and maintaining project expenditures within budget; assists in producing periodic budget and expenditure reports.
  • Coordinates the work of employees, suppliers, contractors, and consultants working on project tasks such as analysis, permitting, engineering design, construction, testing and implementation of new facilities that enhance current and future business processes; ensures completed tasks meet cost, quality, and objectives.
  • Ensures the development and maintenance of project documentation including contracts, change orders, specifications, drawings, budgets, expenditure records, schedules, correspondence, transmittals, memos, minutes, reports, and other project files.
  • Coordinates procurement processes in conjunction with purchasing section; evaluates supplier, contractor, and consultant proposals; coordinates negotiation of final contract scopes of work, terms, and conditions; develops evaluation and award recommendation reports.
  • Assists in providing oral and written direction to suppliers, contractors, and consultants; interprets drawings, specifications, scopes of work, and contracts; negotiates contract change orders; in conjunction with finance department, assists in evaluating and processing invoices from suppliers, contractors, and consultants.
  • Reports status of all projects through oral and written communications to supervisor and may make presentations to management as directed.
  • Assists in directing outside contractors as required by project requirements.

** Education and Experience**

  • Bachelor's degree in business, public administration, engineering or related degree.
  • Progressively responsible directly related experience may be substituted for the required education at the ratio of two years of experience for one year of education required in assisting with the coordination of projects, documentation processes, compliance and reporting experience within assigned area.

** Licensing**

A valid driver's license issued by the State of California, Department of Motor Vehicles is required.
