Job summary

EXOVATIONS is seeking a Project Coordinator to assist the Project Management team in scheduling, coordinating materials, permits, and subcontractors to keep projects on schedule and on budget.

The role requires strong organization, proficiency in Microsoft Office 365, and experience with project software; you will maintain documentation, track milestones, and support timely decision‑making with the finance and field teams.

Qualifications

  • High school diploma or equivalent; related coursework preferred.
  • 1–3 years of related project coordination experience.
  • Basic knowledge of residential construction is a plus.
  • Organized, detail‑minded, and able to multi‑task effectively.
  • Proficient with Microsoft Office 365 and project software.

Responsibilities

  • Schedule and coordinate project tasks, resources, and stakeholders.
  • Maintain project schedules, permits, and documentation for each project.
  • Track progress, update records, and ensure 100% documentation accuracy.
  • Assist with material orders, PO processing, and vendor follow‑ups.
  • Support project manager with meetings, decisions, and file organization.

Job description

POSITION SCOPE

The EXOVATIONS of Atlanta, LLC (EXO)’s Project Coordinator assists the Project Management team in all administration functions and processes to schedule, deliver and complete a project in a timely fashion as determined by the project schedule, facilitating the development of project plans and permits and managing them from inception to completion. The Project Coordinator monitors all moving parts of the project, keeping them synchronized and moving forward.

KEY RESULTS
  • Successfully coordinates project tasks and resources with the goal of completing projects on time and within budget
  • Streamlines project handling administrative tasks, increasing team and individual efficiencies
  • Ensures project documentation is completed and maintained appropriately for each project with 100% accuracy
ESSENTIAL DUTIES
  • Schedule customer pre-walks appointment via phone, text, or email
  • Performs maintenance of all Project Schedule Intake using Microsoft Dynamics 365-Field Service software
  • Maintains compliance regulations.
  • Processes all outgoing Labor PO’s and Material Take Offs
  • Order job materials and schedule deliveries accordingly
  • Monitors Profit Margins for projects
  • Processes and maintains Trade-Partners incoming Labor PO’s (weekly draw/invoices) and follows up with Trade Partners action items.
  • Distributes and tracks project related technical materials in conjunction with the project manager.
  • Creates job closeout documentation.
  • Documents and follows-up on important actions and decisions from meetings
  • Ensure all documents and supporting files are saved in the correct location and format.
  • Obtain and the required municipal permits, collect and organize necessary documentation, and maintain the project schedule
  • Updates monthly lumber pricing in our system
  • Register material warranties
  • Back-up other Project Coordinators as needed.
  • Performs other duties as assigned by Finance Director
PREREQUISITE EDUCATION, KNOWLEDGE, SKILLS, AND COMPENTENCIES
  • High school diploma or equivalent. Additional education in position-related courses preferred
  • One to three years’ related experience
  • Basic knowledge of Residential construction with home building or remodeling company
  • Motivated and goal-orientated drive to exceed personal and company expectations
  • Solid organizational skills, including multi-tasking and time management skills, and strong problem-solving skills
  • Proficient with Microsoft Office 365
  • Basic knowledge of Residential construction with home building or remodeling company
  • Experience with Microsoft Dynamics 365 or NAV
  • Good judgment with the ability to make timely and sound decisions
