Job summary

Fortify Companies’ Insurcomm Restoration is seeking a Project Coordinator to support mitigation projects from start to finish. This field-based role combines remote work with in-person collaboration from our Cincinnati, OH office, ensuring organized communication and documented processes across teams and vendors.

You’ll manage schedules, documentation, and finance-related tasks while liaising with insurers and clients.

Responsibilities

  • Coordinate clerical, administrative, and accounting functions for mitigation and rebuild projects.
  • Support Project Managers and Operations leadership with daily project coordination.
  • Maintain accurate job files, notes, and documentation within PSA (our job management software).
  • Track mitigation and rebuild project schedules, appointments, inspections, material deliveries, subcontractor workflows, and overall project workflows from beginning to end.
  • Coordinate office schedules and communicate with customers regarding arrivals, changes, or delays.
  • Assist with collections processes, including deductibles, progress payments, and final payments when needed.
  • Coordinate and communicate with insurance companies, adjusters, agents, vendors, and clients throughout the project lifecycle.
  • Prepare, review, complete, and route project-related forms, paperwork, purchase orders, and work orders.
  • Perform project tracking and reporting, including schedules, metrics, and operational reports using Power BI.
  • Provide quick, accurate responses to vendors, subcontractors, agents, and clients.
  • Support office staff, production management, and sales teams as needed.
  • Answer incoming calls, direct inquiries, and assist clients professionally and empathetically.
  • Demonstrate a positive and professional image of the company through written, verbal, and visual communication.
  • Apply all safety rules and regulations and help prevent work hazards.
  • Perform other administrative and coordination duties as assigned.

Pay: $21.50 – $26.50 per hour (approximately $45,000 – $55,000 annually)

About the Job

As a Project Coordinator, you play a critical administrative and operational role supporting mitigation projects from start to finish. Working remotely and in-person (~3-4 days per week) from our Cincinnati, OH office, you provide the structure, organization, and communication that allows Project Managers and field teams to perform at their best.

This role is the backbone of the mitigation operation—coordinating schedules, maintaining accurate documentation, supporting financial and reporting processes, and ensuring clear, timely communication between internal teams, clients, vendors, and insurance partners. Your ability to take control behind the scenes ensures projects move forward efficiently and predictably during chaotic situations.

What You’ll Do
