ABOUT THE ROLE

The role of Project Controls Specialist is focused on providing analytical and management assistance to team leadership on large, multi-office projects. You will leverage your experience in data analysis, budget planning and analysis, problem solving, and research. The successful candidate will excel at managing multiple tasks simultaneously and thrive in a fast-paced project environment.

HERE'S WHAT YOU'LL DO
Financials
  • Prepare and report on monthly project revenue with the Regional Controller, review performance and projection variances for Project and Firm leadership.
  • Report revenue and develop profitability forecasts, including review of project staffing and schedules.
  • Review consultant contracts and invoices for accuracy, matching them to project budgets.
  • Assist Project Leadership in managing workload, interpreting, summarizing, and checking complex data sets to produce weekly and monthly reports.
  • Facilitate the development, evolution, and management of work plans, budgets, and schedules with Project Managers.
  • Oversee project invoicing, ensuring accuracy and timeliness, and work closely with Project Managers and the Business Office for receivables collection.
  • Maintain records of the financial status of projects.
Communications
  • Develop and maintain positive client relations throughout the project lifecycle.
  • Prepare complex spreadsheets and database work in Excel and other tools.
  • Gather, coordinate information, and assist with research.
  • Assist in maintaining effective communication, including written documentation.
  • Prepare correspondence explaining payment decisions.
  • Summarize schedule and cost information, including developing graphics for high-level audiences.
  • Navigate numerous data sources to provide accurate reporting.
Project Team
  • Collaborate effectively with team members, fostering a positive environment.
  • Monitor work progress through regular meetings.
  • Help develop efficient processes while maintaining workflows.
Contracts
  • Understand contractual obligations and ensure team delivery aligns with scope and services.
  • Proactively communicate with clients for approvals and payables.
  • Assist in drafting contracts and exhibits, and shepherd them through approval processes.
  • Perform schedule analyses as requested.
  • Maintain records and reports to meet contractual requirements.
HERE'S WHAT YOU'LL NEED
  • Minimum Associate's degree in Business, Construction Management, or related field; Bachelor's preferred.
  • At least 8 years of related experience in project control activities.
  • Strong analytical and problem-solving skills.
  • Excellent communication and teamwork abilities.
  • Critical thinking skills.
  • Experience in a professional service firm is a plus.
  • Proficiency in MS Office, MS Project; experience with Procore, Primavera, PowerBI, Deltek Vision, and MS Scheduling is preferred.

The salary range for this position in San Francisco, CA, is $106,200 to $132,800 annually, with potential bonuses and a comprehensive benefits package. For more info, visit our careers page.
