Job summary

Lesaffre North America is seeking a Project Control Analyst to manage project lifecycles from setup in Mfiles and SAP to closeout, ensuring accurate cost control and timely reporting.

You will monitor budgets, support procurement for Capex projects, and maintain project documentation across SAP and Mfiles while coordinating with finance and program managers.

Qualifications

  • Bachelor’s degree (BA/BS) or 5 years of relevant work experience is required.
  • Prior experience with ERP system, SAP preferred.
  • Prior experience with M-files or similar document control system preferred.
  • Experience in Microsoft Office, especially Excel, is required.
  • PMP certification is a plus.
  • Experience in industrial manufacturing in biological or food and beverage industry is helpful.

Responsibilities

  • Project lifecycle management: Create and set up projects in Mfiles and SAP; coordinate with finance, establish documentation and charge accounts.
  • Monitor project progress across portfolio; track expenditures; support Capex procurement; reconcile cost control for large Capex.
  • Complete project reconciliation and closeout in SAP and Mfiles; maintain accurate project information; archive purchase orders and documents.

What you’ll do as a Project Control Analyst:
  • Demonstrates an unwavering commitment to Lesaffre's safety-first culture by strictly following all safety protocols and participating in required safety programs
    • As a leader, has impact on others by setting the example for others to follow
  • Project lifecycle management:
    • Create and set up projects in Mfiles and SAP. Ensure that all required documentation and charge accounts are properly established, in coordination with the finance functions.
    • Monitor project progress across the different programs of the portfolio. Track expenditures against individual project budget. Support procurement for Capex projects. Populate and reconcile cost control for larger Capex initiatives.
    • Complete project reconciliation and closeout in SAP and Mfiles.
    • Maintain accurate and current project information in SAP and Mfiles. Archive all project purchase orders and financial documents.
  • Project tracking and forecasting:
    • Booked forecast: prepare and maintain booked forecast monthly using bottom-up approach to project spending, by gathering all forecast information from the different project managers
    • Paid forecast: Manage twice monthly paid forecasts to track cash out and maintain compliance with yearly cashout target.
    • Month-end close: Work with finance to reconcile booked and paid data, complete monthly Capex reporting package, and prepare variance analysis.
    • Cost control: For large industrial initiatives, track project cost control monthly, identify variance and flag at risk projects.
  • Portfolio reporting:
    • Compile and consolidate portfolio data, and maintain visibility into overall portfolio performance
    • Conduct bi-weekly meetings with project managers of the different program, to review progress and discuss next steps. Serve as an accountability partner for project execution tracking.
    • Prepare monthly and steering committee CAPEX reporting packages including booked forecast, paid forecast, KPIs (Schedule Performance Index, booked to date vs. baseline), and identification of at-risk projects
  • Purchasing & Vendor Coordination
    • Purchase Order Management: Issue POs for CAPEX projects, maintain PO lists, manage invoicing, and coordinate payments to vendors and subcontractors
    • Vendor Support: Provide limited support to project managers on purchasing and invoicing matters, particularly for large CAPEX and extension projects
    • Payment Coordination: Ensure invoices processed and paid according to company payment schedule (1st and 15th of month)
  • Project Management Office: Continue to develop the Project Management Office tools and methodologies. Standardize documents and reporting across the portfolio. Archive documents and maintain capex knowledge base. Facilitate Front End Planning and Construction Readiness Assessments. Assist project managers develop baseline schedules. The Project Control Analyst will also make suggestions to improve project processes and workflows.
  • Other duties as assigned.
