Job description

At Elecnor Hawkeye, we prioritize our employees by fostering a collaborative, dynamic environment that enables them to reach their full potential. As a leading company in engineering, construction, and infrastructure, we provide solutions for electrical transmission, substations, gas pipelines, and solar facilities. Our goal is to build essential energy infrastructure while supporting the transition to cleaner energy sources. We have established a strong reputation for delivering affordable and safe services, and we remain committed to ensuring customer satisfaction, protecting the environment, and completing projects on time and within budget. We consistently seek ways to enhance our operations, support ongoing growth, and expand our services across the Northeastern and Mid-Atlantic regions and beyond.

The Project Control Administrator provides essential day-to-day administrative support to the operating center, ensuring the smooth execution of procurement, fleet logistics, and field manpower tracking. Reporting directly to the Project Controls Manager, this role acts as a critical operational bridge—handling high-volume data entry, monitoring vendor payment statuses, and processing new hire documentation. By maintaining accurate tracking matrices and streamlining local administrative workflows, the Administrator directly supports the project management team in delivering successful outcomes while maintaining strict corporate alignment.

Responsibilities
  • Perform the initial review and validation of vendor invoices against issued Purchase Orders (POs) to resolve discrepancies early.
  • Maintain the weekly "Vendor Payment Status" spreadsheet, intercepting vendor inquiries and compiling validated invoices for corporate AP escalation.
  • Monitor corporate ticketing systems for outstanding AP issues and ensure timely follow-up.
  • Partner with the Fleet Manager and Project Controls Manager to maintain the fleet request form and tracking matrix.
  • Track vehicle and equipment dispatch processes, maintenance schedules, and equipment charges for active projects.
  • Log facility service requests, vendor contract statuses, and support warehouse material flows and site deliveries.
  • Assist in logistics and cross-team communication during emergency storm responses and field mobilizations.
  • Coordinate the end-to-end documentation process for new field hires, including initiating and tracking required paperwork (e.g., I-9, EAF).
  • Submit and track new user IT requests to ensure hardware equipment, system access, and permissions are ready for day one.
  • Assist the Project Controls Manager with month-end data collection by distributing and collecting accrual and projection templates from Project Managers.
  • Ensure timely and accurate data entry for critical financial inputs and local timekeeping records.
Qualifications
  • Detail-Oriented: Highly organized with exceptional accuracy across documentation, spreadsheets, and data entry.
  • Proactive Follow-Up: Strong ability to track multiple open requests (like IT tickets or AP payments) and persistently chase down resolutions.
  • System-Savvy: Comfortable utilizing digital tracking matrices, online forms, and corporate ticketing systems.
  • Cross-Functional Communicator: Professional written and verbal communication skills for interacting with vendors, field crews, and corporate departments.
  • Exclusively performed in a standard office environment using computers, Microsoft Software, Excel, and dual-monitor setups.
  • Standard business hours with predictable periods of increased workload.
Special Physical Demands
  • Prolonged periods sitting at a desk or workstation managing accounts and emails.
  • Sustained visual focus, requiring staring at computer monitors for extended periods to read small text on spreadsheets, and PDF documents.
  • Verbal communication is required to handle customer inquiries and collaborate with internal teams.
Work Contact Group
  • Regular contact with Finance, IT, Payroll, and HR as well as operations and all internal departments across Elecnor Hawkeye LLC.
  • Frequent communication with external customers and internal departments like sales and operations.
