POSITION SUMMARY

The Project Business Manager (PBM) supervises and coordinates activities and daily operations at a project site associated with financials, cost, material procurement, in-processing, document control, scheduling and subcontracts. Position demands tact and diplomacy, a sense of confidentiality and responsibility and communication at all employee levels. Project client satisfaction and the project’s financial performance are the PBM’s responsibility. The PBM also contributes to business development and to furthering the Company’s ability to compete in the marketplace.

General Responsibilities

  • Ensures the safe, effective and efficient operation of the department/work unit/project unit.
  • Handles client change orders and decides when to request a change order and how to price the change order.
  • Fully understands and fulfills contractual commitments to the client. Uses Contract Risk Management to understand risks associated with a contract.
  • Must have extensive knowledge of cost accounting/reporting systems and be able to recognize and correct cost overruns and compensate for estimate oversights.
  • Assures client receivables are paid and discusses their collection with the client when necessary.
  • Monitors the financial status of the project by reviewing management reports and talking with Project Management to achieve positive financial performance.
  • Serves as a role model to subordinates and effectively hires, trains, coaches, disciplines and develops employees.
  • Achieves desired results through effective leadership and appropriate influence and adheres to established policies and procedures.
  • Determines methods and courses-of-action to achieve project and organizational goals through effective financial planning and financial performance of the project.
  • Processes invoices, while ensuring accuracy and billability.
  • Negotiates procurement of products, services and equipment to ensure competitive analysis and discounts are secured consistently.
  • Supervises and coordinates the Small Business Subcontracting Plan.
  • Reviews project expense reports for accuracy, approves and forwards to Vice President.
  • Maintains log of all contract changes.
  • Ensures client satisfaction, both internally and externally, through positive, pleasant, professional and efficient handling of issues.
  • Exercises good interpersonal skills by gladly assisting others to accomplish work of the organization, even if it is outside the scope of regular duties.
  • Ensures purchase orders are written according to established terms and conditions. Ensures the contracts with subcontractors are developed and executed in a timely fashion.
  • Travels to Company and subsidiary offices; offsite client, subcontractor, and supplier meetings; and other locations across North America to fulfill the essential duties of the role as required.
  • Exhibits regular and reliable attendance in person as required by the Supervisor, Company guidelines, and/or project and office obligations.

Management Competencies

  • Coordinates support functions, including project start-up, with Project Manager, Project Director and internal/external team members.
  • Contributes direction and support when major events take place on a project (e.g., significant accident, labor strife, disagreement with a subcontractor, etc.).
  • Develops and maintains positive, trusting working relationships with key subcontractors assigned to projects. Makes sure they are treated in a fashion that promotes the Company as their contractor of choice.
  • Ability to effectively create, interpret and execute contracts.
  • Along with the Vice President, identifies the project personnel skills necessary to achieve the strategic plan. Implements an action plan to address potential gaps.
  • Conducts reviews with direct reports. Invites the Vice President to participate in the evaluations.
  • Establishes and maintains a positive working relationship with the client and the client’s agent.
  • Keeps the Vice President informed about the status of client relationships, the client’s experience of working with the Company and upcoming work.
  • Develops and maintains positive working relationships and rapport with the owner’s key personnel to ensure client satisfaction.
  • Fully understands the client’s business needs, and does “whatever it takes” to satisfy the client. Follows through on client commitments.
  • Makes sure the client is satisfied with the Company’s performance and that the client is having a positive experience working with the Company.
  • Communicates effectively with the owner’s top management when required.

Performance

  • Maintains thorough knowledge of Built In Safety policies and procedures.
  • Meets or exceeds performance targets.
  • Knows, practices and enforces the Company safety and substance abuse policies/procedures. Models and reinforces safety as the top priority on the project site.
  • Develops safety incentive programs for project as appropriate.
  • Reviews cost and variances by project with Vice President daily/weekly/monthly.
  • Verifies billing processes biweekly.
  • Reviews change order logs weekly.
  • Reviews expenses and projected expenses report, monthly or more frequently, and ensures accurate projections.
  • Reviews the Labor Productivity Reports, giving special attention to codes, and projects a near loss or loss weekly.
  • Reviews profit fade on the project and develops a recovery plan.
  • Reviews Schedule of Project Income with business unit Financial Directors monthly.
  • Develops and maintains effective relationships with suppliers.
  • Fulfills MBE requirements.
  • Reviews cost trends (volume and profit) against plan with Vice President at least monthly.
  • Reviews the salaried personnel charged to the project weekly.
  • Develops cash flow curves.

Qualifications

Bachelor’s degree in Business, Finance, Engineering, Construction Management or related field plus 10 years’ related experience in construction project management with substantial exposure to financials for projects of exceptional scope, or equivalent combination of education and experience.

Candidates may permanently reside anywhere in the US but must will be willing to travel to project locations anywhere across North America for extended periods of time (up to 85%).
