Additionally, the position manages the operations of the Dean’s office and provides administrative support. To effectively perform this role, the incumbent is able to balance the coordination of project plans and milestones and maintains ongoing communication and collaboration with the College, staff colleagues, and key stakeholders across the University. As part of the college leadership team, this position can provide strategic input to key initiatives, possesses a high level of integrity, and demonstrates discretion in sensitive and confidential matters. This is a 100% time P&A position. Normal work hours are Monday through Friday from 8:30 am to 5 pm. This position reports to the Dean, and given the nature of the work, is expected to be on university premises about 4 days/week.

Major Responsibilities
Project Management 70%
- Support the dean’s office in managing key college-wide projects, such as the program innovation council, budget planning, and student success initiatives.
- Manage processes and contribute to improved systems that serve the academic oversight role of the Office of the Dean, ensuring responsiveness to stakeholders and compliance with University policies. Strategically partner with the leadership team and other university stakeholders on projects and initiatives that address key issues and advance priorities of the Dean and College, ensuring alignment with University goals and priorities, effective and open communication, and timely completion of work products.
- Partner with the CCAPS marketing team to develop strategic communications plans for the CCAPS Dean’s office.
- Lead the staffing of internal or external committees and work groups led by the Dean or other administrative leaders, to include reviewing materials, researching issues, and drafting briefing memos, inter-college MOUs, charge letters, meeting agendas, reports, and policy documents.
- Coordinate CCAPS-wide meetings for strategic planning, budget analysis, program lifecycle management and new initiatives.
- Coordinate CCAPS-wide reporting, strategic planning and multi-year roadmaps, and budget and program performance analysis/updates. Tracking project deliverables and KPIs.
Dean’s Office Operations Management 20%
- Oversees and directs all day-to-day operations to ensure the office functions effectively, including developing and implementing initiatives, processes, and workflows to align with Unit policies and procedures. Support the LT in developing cross-organizational, multi-functional reports, to support college decisions and LT discussions.
- Serve as the primary point of contact and liaison for the Dean to both internal and external stakeholders. Drafts, reviews, and edits correspondence needing the Dean’s (Institutional Official) signature, including confidential inquiries.
- Manage complex schedule for the Dean; obtain and provide input to the scheduling of commitments; provide all pertinent background materials for appointments and meetings in an organized manner; anticipate needs in advance of events; confirm dates, times, and set-up arrangements, etc.; follow through on daily, monthly, and yearly commitments and events. Provide support for travel arrangements and complete expense reporting.
- Manage temporary employees during short and long-term periods assigned to Dean’s office support.
- Serve as office lead in coordinating day-to-day oversight of general Dean’s office operations, such as: ordering office supplies, stocking the kitchen area, servicing of the copier and printers, etc.
Event Management 10%
- Lead operations planning for college-wide events such as town halls, celebrations, and commencement, including managing the budget, location, logistics and program.
- Work closely with the dean to plan and staff meetings, forums, and other events that advance the Dean’s agenda and academic administrative activities.
Required
Qualifications
- Experience managing complex projects including establishing timelines and roles, identifying tasks, and completing projects on time
- Strong interpersonal skills and ability to work collaboratively with diverse teams and stakeholders
- Strong communication skills, including writing effectively and concisely in many formats
- Strong problem solving skills and ability to analyze data, identify trends, and make informed decisions
- Excellent time management and organizational skills
- Demonstrated ability to learn, adopt and utilize new technology, including experience with using artificial intelligence to increase productivity
- Bachelor’s degree and 6 years of related experience; or Master’s degree with a minimum of 4 years of related experience

Pay And Benefits
Pay Range: $80,000 - $95,000 annually; depending on education/qualifications/experience
