Job Summary

The Project Administrator II provides administrative, secretarial, and clerical support to the project, maintaining professional relationships with owners, architects, engineers, subcontractors, and suppliers. The role may supervise and train the Project Secretary and participate in the employee’s Individual Development Review. The position requires at least two years of experience in a similar role or experience on larger, complex projects. This position is 100 % on‑site and not eligible for remote or hybrid work, and is not eligible for visa sponsorship.

Key Responsibilities
  • Assist with owner billings and coordinate receipt of owner funds and release of subcontractor payments.
  • Assist with project close‑out as requested by the project team, perform duties per the close‑out checklist, and generate and audit reports (equipment, labor, material, subcontractor committed cost, and job cost).
  • Ensure all compliance records (certified payroll, minority craft hiring goals, monthly utilization reports, daily manpower reports for all contractors) are completed timely and accurately for audit readiness.
  • Maintain and distribute Billing Status Report, tracking executed subcontracts/supplements, insurance, bonds, pre‑liens, lien releases, and joint checks.
  • Supervise and provide training for the Project Secretary; participate in the Individual Development Review.
  • Coordinate hiring guidelines, applicant flow logs, pre‑employment drug tests, orientation, and separation for remote projects in partnership with Corporate Employment.
  • Set up and log subcontracts (work orders) in JOE and Prolog, generate sub‑packages with job‑specific forms, manage subcontract change orders (supplements) and budget adjustments, process pay applications after the Project Manager’s approval, and maintain records in Prolog.
  • Set up and maintain standard project files (general correspondence, subcontractor/purchase‑order agreements, vendor files, timesheets, Prolog company set‑up).
  • Ensure full compliance of Bulletin Board postings with federal, state, and local regulations.
  • Type and distribute project correspondence and coordinate all payables and receivables with Accounting; maintain and reconcile job‑site petty cash and other accounts as required.
Minimum Job Requirements
  • Good organizational skills.
  • Proficiency with word processing and spreadsheet software; advanced Microsoft Office Suite skills.
  • Two‑year accounting degree or equivalent combination of business training and related experience.
Physical Requirements
  • Occasional stooping, kneeling, or bending.
  • Compliance with all safety standards and procedures.
  • Frequent use of hands to grasp, lift, handle, carry, or feel objects.
  • Frequent interaction with people and technology during a shift/workday.
  • Occasional lifting, pushing, or pulling objects up to 50 lbs.
  • Sitting, standing, or walking short distances for the entire shift/workday.
  • Frequent use of telephone, computer systems, email, and other electronic devices to communicate with internal and external customers or vendors.
