Project Administrative Support Specialist

Location: Washington, DC (Hybrid)

Employment Type: Full-Time - Federal Contract-funded position

The Project Administrative Support Specialist provides comprehensive administrative and project support within a fast-paced government contracting environment.This role serves as a central resource for project teams, supporting daily operations, data management, reporting, and coordination of activities to ensure efficient execution of project objectives.

The Project Administrative Support Specialist plays a key role in maintaining organized systems, supporting compliance with federal and organizational requirements, and facilitating administrative workload across teams and stakeholders.

The position requires strong organizational, analytical, administrative support, and communication skills, along with the ability to manage multiple priorities in a deadline-driven environment.

Key Responsibilities and Required Qualifications
Administrative & Project Support
  • Serve as a central point of contact for administrative and project support, responding to inquiries and resolving issues in a timely manner
  • Coordinate meetings and events, including calendar management, scheduling, and virtual meeting setup (Microsoft Teams) and scheduling meeting rooms
  • Manage event logistics and ensure operation of meeting room AV equipment
  • Support project activities by tracking timelines, deliverables, and action items to ensure alignment with program requirements
  • Maintain and update program documentation, shared drives, contact lists, and tracking systems
  • Processing incoming and outgoing correspondence
  • Downloading grant documents from federal database systems and creating tracking systems and electronic filing systems
Data Management & Reporting
  • Conduct research and gather data from internal systems, databases, and external sources to support program operations
  • Prepare, edit, and format reports, correspondence, spreadsheets in accordance with federal and organizational standards
  • Perform data tracking, analysis, and reporting using Excel and other tools to support contract deliverables
Systems & Document Management
  • Create, organize and maintain SharePoint sites and document management systems to ensure accessibility, accuracy, and version control
  • Support records management and document control processes in compliance with organizational and federal requirements
  • Ability to manage data from multiple databases by extracting required reports and other electronic documents
Procurement & Operational Support
  • Assist with procurement-related activities, including vendor research, obtaining quotes, and tracking purchase orders
  • Provide administrative support for project operations, ensuring processes are efficient and compliant
Stakeholder Support & Communication
  • Collaborate with internal teams and external stakeholders to support program implementation and coordination
  • Maintain professional communication and provide high-quality customer service
  • Support cross-functional teams in meeting contract goals and deadlines
Education & Experience
  • Bachelor's degree preferred
  • Minimum of 2 years of experience in administrative and project support or similar roles
  • Experience in a government or federal contracting environment preferred
Knowledge & Experience
  • Experience supporting projects, programs, or contracts with multiple stakeholders
  • Familiarity with communication strategies, outreach, and stakeholder engagement
  • Exposure to federal systems such as Grants.gov, GrantSolutions, or workforce performance systems (e.g., WIPS) preferred
  • Familiarity with compliance-driven environments, federal reporting requirements, or contract deliverables preferred
  • Experience with document control, records management, and case management systems
Technical Skills
  • Advanced proficiency in Microsoft Office Suite, particularly Word and Excel (formulas, pivot tables, data tracking/reporting, and formatting)
  • Advance working knowledge of Microsoft Teams, Teams Channels, and SharePoint for collaboration and document management CMS systems

  • Ability to work independently and collaboratively in a team environment more importantly the ability to work in a close team environment that requires constant ad hoc meetings and collaborative working sessions
Additional Requirements
  • Must be able to obtain and maintain a Public Trust security clearance
  • On-site location in Washington, DC
  • Experience supporting federal contracts or public sector programs preferred
Work Schedule

Hybrid work Standard work schedule:40 hours per week Overtime is not typically required

Pay

$60,000.00 - $68,000.00 per year
