An established industry player is looking for a detail-oriented Project Coordinator to manage vendor invoices and ensure accurate processing. In this role, you will be responsible for verifying invoice details, maintaining records, and cross-training with colleagues. Matches all vendor invoices with the appropriate Company Purchase Order, and verifies that the dollar amounts, Purchase Order numbers, prices and quantities, are correct. Hand stamps all vendors invoices for payment approval, filling in the required data fields, verifies that the items were received, and then forwards to the Operations Manager for her signature and approval.
Updates IMACS with the paid vendor invoice information for each project and then scans the appropriate paperwork in the specific job file folder within IMACS to the designated Purchase Order category.
Ensures all information on vendor invoices is correct. If not reaching out to the vendor POC to get corrections made to process payments.
List every Vendor invoice on spreadsheet with the Invoice#/Amount of Invoice/Vendor Name/Coded to what ID# or Account#/Rental Agreement# and any special notes as to when received.
Processes all toll violations for the Air Compressor Group.
Acts as the backup person to the other Project Coordinator and assumes their role and duties pertaining to costing out and reviewing all Air Compressor Group projects. Rotates all the Air Compressor Group job files and maintains current year and past two years file storage on the PSD 2nd floor offices.
Cross training with other co-workers within the Air Compressor Group to learn how to build a sales job iniMacs, arrange freight, and invoice a sales job.
Performs other duties as assigned.

Formal Education: High School diploma or GED
Experience: 3-4 years
Able to easily and effectively comprehend written material and communicate orally and in writing with employees and customers.
Computer skills required are MS Office, Word, and Excel.
Excellent attention to detail.
Desire to work with numbers.
Some college preferred.
Understanding of basic accounting principles.
