SeedAI in DC is seeking an experienced events/program assistant to support our AI policy initiatives. You will work directly with the Director of Strategic Initiatives to manage monthly programs and logistics, vendor coordination, and stakeholder communications.
As you grow, you will help standardize SOPs, improve records, and extend our multi-state event series across AI policy venues, while keeping operations reliable and timely.
SeedAI is a DC-based 501(c)(3) working at the intersection of government, industry, and the research community on AI policy and adoption. We convene people and institutions that wouldn't otherwise sit at the same table, and we try to lower the transaction costs of real collaboration across them. The team is agile and we use AI tools in our daily work.
Our recurring programs include FYSA, a monthly off-the-record AI policy briefing for Hill staff; AI Primers, monthly moderated panels at congressional venues; and AI Across America, a state-level workshop series that has recently completed events in Louisiana, Georgia, and Tennessee. We also produce an annual tentpole convening in March – SeedAI House at SXSW in 2023, 2024, and 2025, the American AI Festival in DC in 2026 – with outside experiential production vendors, and we plan to continue staffing tentpoles that way.
The role
You will work directly with the Director of Strategic Initiatives to manage events and other program operations. That includes strategic planning and communications as well as day-to-day operations: records and contacts, scheduling support, vendors, tools and systems. You will coordinate directly with other program leads or the CEO as is appropriate.
You will quickly begin to own logistics and execution, and you're in the planning conversations from the start. You will be expected to improve operational backbone: cleaner systems, better SOPs, fewer things that only live in someone’s memory. As you grow into the role, so will the ambition of our programming. While you won’t be expected to own the strategic landscape or relationships from the start, you will quickly pick up and contribute there as well.
You will be responsible for:
Our events run well and get better every cycle, and the people who lead them spend their prep time on content instead of logistics.
Hill offices, panelists, partners, and the team itself email you first, because they've learned you answer fast and you're right.
The big picture of how relationships and initiatives tie together is clearer and better mapped out.
Our playbooks are better and truer than you found them.
The distance between deciding and it being done keeps getting shorter.
Inside the org, things are cleaner and more on time than you found them: records current, handoffs smooth, fewer things are oral tradition.
