Job Description: West Side Programs and Studio Coordinator

Classification: Exempt, Fulltime, Salary

HOW YOU CONTRIBUTE

The West Side Programs and Studio Coordinator plays a critical role in the daily operations and program delivery at SkyART West, reporting to the Senior Manager of Programs and collaborating with the Program Team and other staff. This position is responsible for the general upkeep of the studios, supervision of interns and volunteers, and insurance of smooth program execution. The Coordinator works closely with the Programs Team to implement program initiatives, meet attendance and registration goals and create a positive and engaging studio environment.

SPECIFIC RESPONSIBILITIES

PROGRAM SUPPORT & INSTRUCTION

  • Assist in onboarding and training new interns and volunteers.
  • Coordinate tasks for interns and volunteers.
  • Teach studio classes according to the SkyART model as needed.
  • Provide individual support to young artists.
  • Assist with the daily operations of studio programs.
  • Manage the purchase and distribution of transit passes.
  • Coordinate with operations staff for bus orders.
  • Assist with enrollment and registration processes for SkyART’s programs.
  • Oversee the disbursement of stipends to Project 3rd Space participants.
  • Assist in gathering feedback from young artists and staff through surveys, interviews, and focus groups.
  • Oversee the use of Cityspan software for tracking intake and attendance, ensuring accurate data entry and management, troubleshoot software issues, manage and distribute DFSS vouchers, assist participants with the voucher process, ensure compliance with relevant policies.
  • Support logistics for special events, exhibitions and professional development workshops, Assist with event planning, Participate in event set-up, clean-up and execution.
  • Support programming and logistics for Just-US internship.
  • Ability and willingness to drive the organization’s van for field trips and events, preferred.

STUDIO SUPPORT AND MAINTENANCE

  • Maintain safety, cleanliness, and organization of studio spaces.
  • Prepare art supplies and materials for use in studios.
  • Perform routine maintenance tasks such as cleaning, organizing, and minor repairs.
  • Manage inventory and order art supplies, ensuring adequate supplies and materials are available for program activities.
  • Research and identify vendors of art supplies and acquisition of donated art supplies.
  • Oversee and maintain technology equipment and software in the tech lab, escalating technology requests through appropriate channels.
  • Keep the tech lab clean and organized.

OUTREACH

  • Assist with recruitment efforts by contacting potential participants, schools and community organizations.
  • Create and distribute promotional materials.
  • Attend and seek recruitment events and fairs.
  • Assist with community outreach events and activities.
  • Promote SkyART programs to potential participants.
  • Represent SkyART at community gatherings.

GALLERY SUPPORT

  • Prepare and maintain gallery spaces for exhibitions.
  • Assist with the installation and de-installation of artwork.
  • Support gallery events and activities.

SCHOOL & COMMUNITY SUPPORT (6-8 hours/week)

  • Support program delivery in schools and community settings.
  • Work closely (6-8 hours per week) with the Manager of Schools and Community to provide administrative support.
  • Alongside the Manager of Schools and Community, build and maintain relationships with partner organizations.

PROGRAM COMMUNICATION

  • Manage communications with participants using EZ Text, email and phone.
  • Manage program-related emails, Respond to inquiries, Maintain email organization.
  • Capture and organize media during Programs for Marketing and Social Media use

SCHEDULE AND SITE FLEXIBILITY

  • This position requires flexibility to work at both the South Side and West Side locations.
  • Currently, the schedule is M-F, but requires flexibility to work Saturdays as needed. As the West Side studio grows, the schedule could change to T-S to meet the needs of the organization.

QUALIFICATIONS

  • HS diploma or equivalent required
  • BA or BS Degree in human services, visual art or arts administration preferred
  • A minimum of 2 years experience in a nonprofit, social services or foundation/association environment, arts experience preferred
  • Strong office and administration skills
  • Strong oral and written communication skills
  • Strong research and organizational capabilities
  • Proficiency in Microsoft Office suite
  • Ability to work within a small collaborative environment and manage multiple priorities simultaneously. Strong attention to detail required
  • Ability to work autonomously and make informed, thoughtful decisions
  • Applicant must have a desire to become actively involved in children’s lives and must show an interest in working in low-income communities; experience teaching or working with children/youth/young adults a plus
  • Knowledge of art and art history a plus


COMPENSATION

$44,000-50,000

The salary range for this position is competitive and commensurate with background and experience, plus benefits package for full-time employees.
