Transportation Services has an outstanding opportunity for a Program Support Supervisor 1 to join their team.
About this Opportunity

Under general direction of the Manager of Events, this position will coordinate, plan, and execute temporary, event, and permanent signage. Additionally, this position will represent the office when interfacing with clients and stakeholders, including event organizers, building coordinators, and other departments within Facilities Servies.

The position will have extensive involvement with students, staff, the public and/or agencies in carrying out program activities; coordinating and scheduling program activities; and monitoring program activities to determine consistency with goals.

Tasks may include interpretation of policies, procedures and regulations, budget coordination/administration, independent functioning, and public contact. Under general direction, perform work requiring knowledge and experience specific to Events. This position is expected to be flexible and perform routine and unanticipated duties.

Key Responsibilities

Signage Operations (60%)

  • Act as the primary point of contact for all signage related needs for Transportation Services.
  • Coordinate with other members of the Events team to ensure signage needs are met for Events, Arranged Parking, and Construction Parking, including creating signage placement maps and task scheduling
  • Discuss event signage needs with external stakeholders and event coordinators to ensure signage needs are satisfied for upcoming events
  • Create, deploy, and maintain temporary signage throughout campus. Track temporary signage deployment time to determine if any permanent signs need to be created
  • Deploy event-related signage for campus events and support any emergent signage-related requests on event days.
  • Coordinate with Transportation Services stakeholders to develop and execute permanent signage installation throughout campus. Create signage maps and sign designs, submit work orders to Transportation Maintenance for sign installation, and standardize signage throughout campus parking facilities
  • Ensure signs in parking facilities are maintained properly and coordinate with Transportation Maintenance when maintenance work is needed
  • Work with the Events Program Support Supervisor to anticipate, plan, and create temporary signage needs to support campus events.
  • Coordinate with the Facilities Sign shop to submit orders for sign fabrication
  • Perform other duties as assigned.

Administrative Tasks (30%)

  • Order, receive, and maintain inventory for temporary signage equipment and materials
  • Map and catalogue permanent signage in campus parking facilities
  • Perform hiring duties including posting, interviewing, and conducting orientations for new Student Signage Assistants. Assist with event staffing recruitment activities as needed.
  • Schedule shifts for and supervise Student Signage Assistants.
  • Perform complex scheduling including independently prioritizing needs of program clients.
  • Support Events Supervisory staff, as needed.
  • May perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheets and data base files, uploading and downloading and creating footnotes and outlines.
  • Use scheduling, spreadsheet, word processing, calendar and graphics software, to develop and maintain records including flyers, maps and schedules.
  • Compose written communications, correspondence, printed and electronic materials, and establish and maintain records relating to program operations; establish and maintain records and files, record statistical information; prepare narrative and/or statistical reports regarding program operations.

Hiring and Training (10%)

  • Coordinate and schedule meetings/appointments for the Events Office.
  • Update Student Signage Assistant training program and maintain training standards
  • Develop and maintain a catalogue of approved and standardized sign designs, and ensure all permanent signage in campus parking facilities comply with approved designs

  • High school graduation or equivalent AND two years of experience in event planning or signage deployment OR Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Preferred Qualifications
  • Supervisory experience
  • Basic knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Publisher, and Visio as well as Adobe Photoshop and Acrobat, and GIS programming.
  • Experience working in a fast-paced office environment.
  • Ability to be creative within program guidelines.
  • Customer service experience
  • Proven skillful implementation of procedures, regulations and policies.
Working Conditions
  • Must be able to stand and/or walk for long periods of time.
  • Must be able to lift / move 50 pounds.
  • Must be able to work in all weather conditions.
  • Must be able to work in a non-smoking environment.
  • Regular and predictable attendance is required.
  • Possession of a valid Washington State driver’s license.

Compensation, Benefits and Position Details

Pay Range Minimum:

$51,936.00 annual

Pay Range Maximum:

$69,744.00 annual
