School District #6 is located in the famous Rogue River Valley of Southern Oregon, nestled between the Cascade and Siskiyou Mountain ranges. POSITION: Program Support Secretary - Part-Time (Special Education - School Psychologist Support) HOURS: 5.75 hours per day BUILDING: Special Education Department CALENDAR: 184 days per year (August - June)

  • COMPENSATION and BENEFITS:
  • $19.76 - $23.75, depending upon approved accepted experience
  • Longevity pay after completion of 6 years of employment
  • Annual COLA pay increase (as negotiated with Oregon School Employees Association)
  • Annual step pay increase awarded to eligible employees

PROGRAM SUPPORT SECRETARY Purpose: The Program Support Secretary ensures the efficient and organized administration of a District-level program or department by coordinating communication between district and school personnel and performing specialized secretarial and clerical duties. Reports to: District-level administrator, supervisor, or licensed specialist Nature of Work: The Program Support Secretary works independently following standardized routines under general supervision. The nature of the work requires knowledge of and adherence to policies, procedures, and regulations. Because the job at times requires coordinating and organizing between school and district-level personnel, the position requires significant communication, organizational and managerial aptitude, as well as a high level of professional decorum. Supervision Exercised: No direct supervision. Interface: Primarily interfaces with administrators, licensed and non-licensed school staff. The Incumbent will occasionally interact with students and families. Essential Job Functions:

  • Coordinates the office operations of a district level administrator(s) or department(s), including matters pertaining to scheduling, record-keeping and correspondence.
  • Screens incoming calls, mail and visitors, responding independently to routine inquiries not requiring the attention of an administrator or supervisor.
  • Provide scheduling support by managing multiple calendars, including scheduling appointments, meetings and conferences for administrators or licensed specialists.
  • Coordinates between school personnel and administration/supervisor/specialists in the gathering of records and information needed to maintain compliance with state and federal regulations.
  • Participate in ongoing training, as necessary, to perform specialized protocols and tasks.
  • Monitors, organizes and maintains various types of records, some of which will contain personal and/or confidential information.These records include but are not limited to: student records, such as grade or attendance data, special education documents, or medical/health reports; records pertaining to special grants or specific funding sources; records tracking or reporting specific department data.
  • Produces typed and edited documents from oral or written instructions, including correspondence, reports, memoranda and interoffice communications.
  • Serve as a liaison between the department and school licensed and unlicensed staff.
  • Travel to district facilities and schools to provide support, technical assistance or training for non-licensed staff.
  • Maintain proper inventories of supplies and specialized equipment.
  • Coordinate with the business office the processing of department financial records, including requisitions, expenditures, and billing.
  • Communicates with district patrons and families in person, by phone or email.
  • Operates a variety of standard office equipment, including a computer, copier, fax machine and calculator.
  • Responds to general inquiries for information and assistance.
  • Maintains effective and respectful working relationships with staff and students.

Working Conditions: The Program Support Secretary works primarily indoors in an office environment. The position requires regular work at a computer, as well as the ability to write, hear and speak. The incumbent will also occasionally be required to kneel, bend or crouch. Potential exposures may include blood-borne pathogens and sick or injured students. The position requires some interaction with children from diverse backgrounds, many of whom experiences behavior, academic, or physiological challenges.
