Job summary

Children's Rescue Fund in New York City seeks an Administrative Assistant to provide clerical support and front-desk duties at the Harlem location. You will manage calendars, scheduling, and file maintenance while handling confidential information with discretion.

The ideal candidate has a High School diploma or GED, 2+ years of clerical experience, strong MS Office skills, and the ability to type 50 wpm. Bilingualism is preferred; travel within NYC may be required.

Qualifications

  • High School Graduate and/or G.E.D. is required.
  • Minimum of two (2) years of secretarial/clerical experience is required.
  • Bilingual language skills are strongly preferred.
  • Must be capable of accurately typing 50 w.p.m.; Word Processing at 200 strokes per minute.
  • Ability to handle confidential information with good judgment and discretion.
  • Detail oriented, highly organized, and able to work independently.
  • Ability to manage multiple priorities with strong follow-up skills.
  • Excellent time management and presentation skills.
  • Strong oral and written communication with interpersonal skills.
  • Proficient in MS Office, Outlook, Excel (intermediate-advanced), PowerPoint, and Adobe

Responsibilities

  • Perform clerical duties such as typing, filing, calendar maintenance, scheduling meetings/interviews, and telephone communications.
  • Use the DHS CARES system to complete Facility Bed Management, admissions, discharges, and transfers.
  • Assist with Facility Billing, Audits, Reconciliation using CARES.
  • Prepare and complete reports as needed.
  • Maintain current and up-to-date filing system for the program.
  • Maintain records of daily school attendance with DOE involvement.
  • Order supplies and track distribution.
  • Coordinate with Administrative Support staff to ensure smooth operation.
  • Handle confidential and sensitive tasks.
  • Perform other duties as assigned.
  • May travel within NYC locations when required.
