Job summary

Elwyn seeks a Program Supervisor to oversee the overall management of identified community residential locations, including supervision of staff, medication oversight, and coordination of medical appointments and documentation. You will drive ISP outcomes, ensure safety, and maintain quality standards across sites.

As a leader, you will schedule training, monitor compliance with licensing requirements, and collaborate with the Operations Manager and Program Specialist to improve service delivery

Qualifications

  • High School Diploma required, Bachelor’s degree in business or human service field preferred.
  • Experience in residential programs or related human services is a plus.

Job Description

Elwyn seeks a Program Supervisor, who will be responsible for the overall management of identified community residential service location(s), including the orientation and supervision of all assigned staff, medications oversight, medical appointments, food shopping/petty cash/menu implementation, fire drills, room care, outcomes implementation and documentation, physical site maintenance and vehicle issues.

Duties And Responsibilities
  • Participate and give input in the interview process and collaborate with the Operations Manager (OM) and Program Specialist (PS) to maintain a team of staff focused on Individual Support Plan (ISP) outcomes, program structure and client rights through ongoing support, training, and regular staff meetings
  • Provide timely feedback on Life Skill Associates (LSAs) and Lead LSAs job performance to the OM, and, in the moment, direction and education to the Life Skills Associates, as needed
  • Ensure personnel assigned to their location(s) maintain compliance with training and credentialing requirements including but not limited to completing site orientation with staff before working at the home, and support completion of 24 hours of training annually and completion of required annual training topics by scheduling staff for training in the learning management system, notifying staff of their training registrations and coordinating employee worksite schedule to support participation in training activities; report site training compliance to OM
  • Provide ongoing guidance to staff regarding the daily care, instruction, and safety of individuals supported at assigned program site as outlined in the ISP
  • In conjunction with the OM, ensure sites operate in accordance with the organization’s quality standards for safety, cleanliness, and comfort, and state licensing and accreditation standards by reviewing including but not limited to routine maintenance and cleanliness of vehicles assigned, environmental audits of physical site, staff documentation of daily shift activities and by delegating or performing corrective action plan completion and following up with site and maintenance staff accordingly
  • Communicate operational needs and status to Operations Manager to maximize overall efficient and effective operations of the site
  • Inventory items in first aid kits in the program and in the vehicle reporting missing items to the OM for replacement
  • In collaboration with the OM, direct LSA staff in the following to ensure:
    • Accurate and safe completion of medication administration and documentation including but not limited to medical appointment follow up, processing of medication scripts, picking up medication from pharmacy, updating Medical Administration Records (MAR), accurate completion of required paperwork including but not limited to progress notes by staff for submission to program management.
    • Effective utilization of petty cash to purchase items as directed by the Operations Manager
    • Compliance with following the established menus
    • Proper utilization of Elwyn property to maximize use of resources for the individuals
    • Completion of monthly and new admission fire drills including documentation of the drills
    • Ensure execution of community outings at the direction of the Operations Manager and/or the Program Specialist (PS)
    • Implementation of care plans toward individual outcomes and support for specific basic individual needs
    • Completion of room care/chores and other aspects of the individual’s health and safety requirements
    • Support the transportation team and the OM in the scheduling of, follow through for, and transportation to, medical appointments ensuring medical appointments are kept and adequate staffing levels are maintained in order to keep appointments
  • Create monthly activity calendar based on individual’s preferences and as required by ISPs and regulations
  • Communicate use of staffing resources, regarding maximizing resources to fulfill community outing requirements, as directed by the Operations Manager
  • Support and verify staff hours worked using sign-in sheets for staff in accordance with established program protocols and the Operations Managers direction
  • Respond to contact from the community and the families of individuals in the absence of the OM
  • Assemble and maintain personal care books including but not limited to the client face sheet (CFS) and the care record
  • Organize and deliver copies of progress notes to the PS for use in completion of monthly and quarterly reports
  • Participate in the development and implementation of the ISP by sharing information with the PS regarding the individual’s participation in program activities and progress toward Outcomes, and by reinforcing LSAs’ work with the individual on working toward the identified Outcomes within the scope of the established plan
  • Complete paperwork and maintain all documentation as assigned (and as applicable to specific program regulations, as determined by program management for the program site including but not limited to daily logs, , daily goal reports, assessments, daily financial transactions, MAR, behavioral data sheets, Incident Reports, Parent/Guardian/Other contact form, etc.
  • Aid in the resolution of problematic situations (e.g. communication difficulties, times of distress or agitation) that may occur for individuals supported and notify program management of any unusual or emergency situations
  • Assist the Operations Manager to complete MAR reviews in accordance with established Medication Administration regulations
  • Serve as first point of contact during assigned shift/schedule for daily and emergency situations carrying their work phone during all work times to ensure immediate communication with others
  • Verify and report the compliance to the Operations Manager of proper staffing levels and work distribution within assigned program site and maintain levels of supervision as defined in Individual Service Plan (ISP)
  • Document and report on employee performance-related issues as needed to the Operations Manager
  • Complete required training to become certified as a medication practicum observer and maintain certification
  • Participate in nursing meetings by sharing information about the individuals and their response to medical interventions including but not limited to recovery from illness, response to medications and any seizure activity
  • Ensure census is set in electronic record and provide backup to lead LSA for census setting as needed
  • Remain current with own required training certifications, meets state-regulated licensing and regulatory accreditations, and adheres to mandatory requirements
  • Pick up and deliver mail from/to Media Campus, sorting mail accordingly at the site
  • Report any infraction of Elwyn policies to program management
  • Provide on-call coverage as assigned
  • Perform cardiopulmonary resuscitation (CPR), medication administration and crisis intervention techniques in accordance to agency trained protocol
  • Perform other duties as assigned
Education/Skills/Experience Requirements
  • High School Diploma required, Bachelor’s degree in business or human service field preferred
  • Two (2) years of experience in residential programs for people with disabilities
  • Experience with Microsoft Outlook, Word and Excel preferred
  • Ability to be flexible and adaptable in work schedules and work assignments as defined by program needs
  • Ability to effectively communicate both in writing and verbally
  • Ability to request, accept and utilize feedback and training appropriately
  • Ability to provide effective feedback, training, and delegate job assignments
  • Ability to perform cardiopulmonary resuscitation (CPR), medication administration and crisis intervention techniques in accordance to agency trained protocol
  • Demonstrated ability to work effectively as part of a team

  • Experience using electronic client record a plus
  • Must possess a current, valid driver's license in state of residence, have a minimum of two (2) years of driving experience within the United States, and have an acceptable driving record
