American Apprenticeships Work (AAW) is a leader in registered apprenticeship programs that bridge the skills gap and open career pathways through high-quality, industry-aligned training. As we continue to expand and scale our offerings, we are seeking a dedicated Program Success Specialist to serve as a vital connector between apprentices, mentors, and coaches—ensuring each participant feels supported, informed, and energized throughout their learning journey.

Position Summary:

The Program Success Specialist (PSS) plays a critical role in delivering high-quality apprenticeship experiences. This people-centered role combines operations, communication, coaching alignment, and community-building to ensure each cohort runs smoothly. The PSS will coordinate program logistics from kickoff through graduation, actively engage with stakeholders, monitor apprentice progress, and contribute to continuous improvement efforts across the organization.

Key Responsibilities:

Manage and Monitor Cohort Engagement

  • Serve as the primary connection point across apprenticeship program participants, including apprentices, mentors, and coaches.
  • Lead and facilitate onboarding sessions, live presentations, and milestone briefings with confidence and clarity.
  • Actively monitor cohort engagement and learning progress to identify barriers or delays.
  • Foster a sense of community among each cohort to support motivation, learning, and program retention.

Program Administration and Delivery Collaboration

  • Collaborate with the Apprenticeship Operations and Delivery team on program logistics, including meeting schedules, onboarding sessions, and milestone events.
  • Oversee coordination of program and cohort-specific Canvas Learning Hub and coordinate updates, user access, and content deployment for assigned programs.
  • Maintain organized documentation and ensure each cohort’s lifecycle is supported from setup through closeout.

Learning Progress Support & Troubleshooting

  • Track learning progress and competency completion using program systems and weekly coach feedback.
  • Collaborate with coaches to create and implement personalized support plans for apprentices experiencing delays.
  • Serve as the first line of support for apprentices, mentors, and coaches to resolve technical or program-related issues.
  • Coordinate with AAW team and vendors to escalate or resolve ongoing concerns.
  • Create and present internal reports using data from Canvas, Google Sheets, and weekly tracking tools.
  • Gather, synthesize, and share feedback from program stakeholders to inform enhancements.
  • Support the development of reporting frameworks and share insights for strategic planning.

Process Optimization & Team Collaboration

  • Partner with the team to streamline workflows.
  • Recommend and test improvements in onboarding, engagement, and reporting processes.
  • Contribute to internal documentation, automation tools, and AI-enhanced workflows to increase team efficiency.

Experience:

  • 5+ years of experience in program coordination, customer success, workforce development, or administrative support roles.
  • Experience working with online learning platforms (e.g., Canvas LMS) and business tools such as Google Workspace, Zoom, and DocuSign.
  • Proven ability to coordinate across distributed teams and communicate with diverse stakeholders.
  • Comfort presenting and leading remote sessions, with strong public speaking and facilitation skills.
  • High attention to detail and the ability to manage multiple priorities.

  • Process Improvement & Automation: Experience in improving processes and leveraging automation tools.
  • Data Administration, Record Keeping & Reporting: Competence in managing data and producing reports.

  • Exposure to workforce development, account management, or employer relations.
  • Familiarity with apprenticeship programs, coaching practices, or technical learning environments.

  • This is a fully remote role based in the U.S.
  • Occasional travel (up to 5%) for graduation ceremonies, team offsites, and professional development opportunities.
