Seattle Central College is looking to hire a Temporary Program Specialist 3 at the Wood Technology Center.
Salary Range for this position is $59,724 to $78,456 annually (depending on experience).
Opportunity is open until filled, first review of materials will begin June 27 th , 2025.
Position Summary
Under the supervision of the Associate Dean, the Program Specialist 3 of the Wood Technology Center will be responsible to collaborate with Associate Dean and instructors in the process of class creation and assist the Associate Dean with faculty, student, and staff onboarding. This position is responsible for a wide scope of complex duties involving fiscal management, budget planning, report creation, data management, and systems implementation. Additionally, this role supports the placement and onboarding of faculty, personnel administration, and staff support. The position performs clerical and administrative support duties such as greeting visitors/students, payroll recordkeeping, course construction management, organization and reporting for the program advisory committee, maintain files and supplies as well other related office duties.
This position is temporary Full-time position, working 40hours per week, Monday through Friday, primarily between 8am and 5pm. The position is expected to end on 12/31/25 with the possibility for extension.
This position works 100% of the time on-site.
This position is governed by a collective bargaining agreement with representation by WFSE

What You Will Be Working On
- Interpret, advise, help to develop, and implement WTC policies and procedures within the context of college, district, and state policies.
- Develop and maintain department SharePoint site
- Create program-specific SOPs in coordination with program stakeholders
- Train faculty & staff on using SOPs
- Development of quarterly class schedule:
- Update and manage the information in the Course Catalog within PeopleSoft (ctcLink)
- Create the class schedule on a quarterly basis in PeopleSoft (ctcLink), maintain class offering database, pull reports for proofing, make and communicate schedule changes to faculty, staff, and students
- Adding/canceling classes: contacting students with information about changes to their classes, notification to faculty of the change in their class loads
- Support WTC Advisor in relation to Carpentry & Boatbuilding registration and waitlist maintenance
- Coordinate with PACT staff, Registration, & Financial Aid to register PACT students and make tuition payments
- Manage the following human resources processes:
- Recruiting, hiring, onboarding, and training classified, hourly support staff, and student employees
- Coordination of the hiring and on-boarding process for all faculty (guiding new incoming faculty to the hiring process and paperwork, recommending salary step placement)
- Provide training to staff with similar responsibilities in other instructional departments
- Faculty Workload contract generation for all faculty each quarter, faculty stipends and substitute pay
- Keeping track of all faculty salaries, faculty priority hire list, pro-rata and full-time non-tenure track class load percentages
- Assisting with student and faculty complaints
- Office Management
- Departmental administrative tasks and day-to-day operations of the Wood Technology Center
- Provide friendly and welcoming customer service to all faculty, vendors, students and staff, answer phones and monitor and respond to department emails
- Manage WTC calendar, room reservations (25Live), and coordinate with Event staff regarding building rentals
- Coordinate with Security team and other stakeholder regarding access control for students, staff, faculty, and vendors
- Budgets: Provides leadership, direction and planning for the development of the budget (state operating budgets, grants, and sub-contracts). Track revenues and expenses, Monitor and reconcile budgets
- Administrative reporting: budgets, special projects, schedules, etc.
- Management of office processes and creation of new and improved protocols where needed
- Records Management including student enrollment & retention data, syllabi collection
- Order, maintain and organize departmental office supplies and equipment
- Supplies Purchasing Supervision
- Managing credit card spending and reconciliation in ctcLink
- Signing & submitting documents: such as parking passes, grade change cards, visitor parking passes, etc.
- Grant Management
- Track grant budgets, metrics, and compliance with funding requirements
- Assist in grant writing and reporting
- Assist the Associate Dean of Wood Technology:
- Serve as the Deans¿ designee on campus committees, taskforces, and institutional groups
- Establishing and achieving yearly departmental goals
- Dean¿s calendar management
- Schedule appointments and meetings; take meetings minutes
- Support Technical Advisory Committee including managing member list and taking minutes
- Participate in college and department leadership teams

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)
- Bachelor's degree or 3 years of responsible supervisory, administrative and budget experience that demonstrate the capability to successfully perform the essential functions of the position
- Experience using computerized accounting software
- Demonstrated proficiency in Microsoft Office; including, Word, PowerPoint, Outlook, and Excel, spreadsheets, graphics, statistical and database applications
- Demonstrated skills in Adobe Acrobat
