Qualifications

  • Analytical, communications and organizational skills typically gained from a bachelor’s degree with experience in program administration or event production.
  • Experience in healthcare operations, patient navigation, hospitality, international services, or related field is preferred.
  • Strong ability to develop and manage professional correspondence, presentations and reports.

Responsibilities

  • Coordinate complex calendars, meetings, travel, and logistics for leadership, physicians, visiting delegations, international partners, and VIP activities.
  • Develop, edit, and manage professional correspondence, presentations, reports, and meeting materials for internal and external stakeholders.
  • Support program operations through data collection and manipulation, dashboard reporting, metric tracking, and analysis of service utilization and operational performance indicators.
  • Assist with budget management activities, including tracking expenditures and preparing budget reports.
  • Coordinate and execute meetings, conferences, special events, physician visits, international delegations, and VIP engagements.
  • Foster communication across multidisciplinary teams to support a seamless patient and stakeholder experience.

JOB SUMMARY

We are seeking a Program Specialist to provide high-level administrative and operational support for Global and Ambassador Services, coordinating complex activities that support high-profile, executive, donor, and international patient populations. Apply knowledge and skills to resolve complex administrative problems independently or with others.

JOB DUTIES AND RESPONSIBILITIES
  • Coordinate complex calendars, meetings, travel, and logistical arrangements for leadership, physicians, visiting delegations, international partners, and special patient-related activities.
  • Develop, edit, and manage professional correspondence, presentations, reports, meeting materials, executive briefings, and communications for internal and external stakeholders.
  • Support program operations through data collection and manipulation, complex database management, dashboard reporting, metric tracking, and analysis of service utilization, patient experience, and operational performance indicators. Summarizes findings and writes reports for leadership review.
  • Assist with budget management activities, including tracking expenditures, reconciling invoices and financial transactions, monitoring program expenses, preparing budget reports, and identifying variances for leadership review.
  • Coordinate and execute meetings, conferences, special events, physician visits, international delegations, and VIP engagements, ensuring all logistical, protocol, hospitality, and operational needs are met.
  • Facilitate communication and coordination across multidisciplinary clinical and administrative teams to support a seamless patient and stakeholder experience.
  • Anticipate stakeholder needs and independently resolve complex operational, scheduling, and service-related challenges through creative problem-solving and sound judgment.
  • Demonstrate cultural intelligence and adaptability while engaging individuals from diverse countries, cultures, languages, and healthcare systems, ensuring a welcoming and inclusive environment.
JOB ELIGIBILITY REQUIREMENTS
  • Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program with one year of experience in program administration or event production.
  • -OR- two years of postsecondary education with three years of experience in program administration or event production.
  • OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
  • Three years of experience in healthcare operations, patient navigation, care coordination, hospitality, customer service, international services, or a related field. Experience supporting complex patient populations is preferred
