Responsibilities

  • Manage and coordinate OGC-wide administrative operations, programs, processes, and assigned initiatives to support timely, accurate, and effective delivery of services across the Office of General Counsel.
  • Compile, analyze, maintain, and respond to administrative, operational, financial, HR, procurement, and records-related information requests to support leadership decision-making and unit operations.
  • Support budget monitoring, financial tracking, purchasing activities, and administrative reporting by compiling and organizing financial data and reports.
  • Design, develop, and maintain administrative tools, tracking systems, and reporting mechanisms for OGC needs.
  • Develop, prepare, maintain, and disseminate administrative and operational materials using Microsoft 365, SharePoint, Teams, and Slack.
  • Facilitate coordination with campus business units and partners to resolve administrative issues and support timely processes.
  • Develop and document OGC-wide processes and workflows to improve efficiency.
  • Coordinate deliverables, track milestones, and maintain action logs for OGC initiatives.
  • Plan, coordinate, and support meetings, events, travel, and program activities with budgeting support.
  • Perform other duties as assigned.

Job Summary

The Office of the General Counsel (OGC) serves as Georgia Tech's in-house legal office, partnering with leadership and campus stakeholders to support the Institute's mission by providing legal guidance, supporting compliance efforts, and helping manage institutional risk.

The Program & Portfolio Manager OGC Administrative Operations supports OGC-wide administrative operations, business processes, and operational initiatives as part of the OGC Operations Team. This position provides high-level administrative and operational coordination in support of OGC leadership, faculty, staff, and unit-wide priorities, including budget and financial tracking, procurement coordination, HR and payroll-related transaction support, records and data management, meeting and event coordination, travel and expense support, document preparation, reporting, and process improvement.

This position serves as a key operational liaison among OGC leadership, administrative leadership, faculty, staff, campus partners, vendors, and external stakeholders to help ensure administrative processes are completed accurately, efficiently, and in alignment with Institute policies and procedures. This role requires independent judgment, strong organizational and communication skills, attention to detail, initiative, and the ability to manage multiple priorities in a dynamic environment. This position does not include supervisory responsibilities.

Responsibilities
  • Job Duty 1 - Manage and coordinate OGC-wide administrative operations, programs, processes, and assigned initiatives to support timely, accurate, and effective delivery of services across the Office of General Counsel. Collaborate with OGC leadership, faculty and staff, campus partners, vendors, and other stakeholders to support operational execution, administrative coordination, milestone tracking, and alignment with Institute policies, procedures, and business requirements.
  • Job Duty 2 - Compile, analyze, maintain, and respond to administrative, operational, financial, HR, procurement, and records-related information requests to support leadership decision-making and unit operations. Coordinate related administrative activities, including records maintenance, documentation, meeting support, business document preparation, payroll and HR transaction support, procurement support, and other operational workflows serving all of OGC.
  • Job Duty 3 - Support budget monitoring, financial tracking, purchasing activities, and administrative reporting by compiling, reviewing, analyzing, and organizing financial and operational data. Prepare and maintain reports, tracking tools, and documentation related to budgets, procurement, expenses, PCard activity, travel, staffing-related transactions, and other OGC administrative operations to ensure accuracy, timeliness, and alignment with approved processes and timelines.
  • Job Duty 4 - Design, develop, and maintain administrative tools, tracking systems, records management processes, and reporting mechanisms to support OGC-wide operational needs. Collect, verify, analyze, and communicate administrative and operational data to monitor activity, identify trends, support process improvements, and inform leadership review and operational decision-making.
  • Job Duty 5 - Develop, prepare, maintain, and disseminate administrative, operational, and business materials and resources, including correspondence, reports, presentations, meeting materials, process guidance, internal communications, website or digital signage updates, and other OGC operational content. Utilize Institute-approved tools and platforms, including Microsoft 365, SharePoint, Teams, Slack, and other systems, to support effective communication, knowledge management, and administrative coordination across OGC.
  • Job Duty 6 - Facilitate coordination with campus business units and partners, including HR, Finance, Procurement, Travel, OIT, Facilities, and other Institute offices, to resolve administrative issues, remove operational barriers, and support timely completion of administrative processes, transactions, and deliverables. Serve as a key operational liaison to help ensure OGC administrative needs are addressed efficiently and in accordance with Institute requirements.
  • Job Duty 7 - Develop, implement, document, and maintain OGC-wide operational and administrative processes consistent with Institute policies; design and document workflows and practices that enhance administrative efficiency, consistency, service delivery, and operational continuity.
  • Job Duty 8 - Support OGC leadership, administrative operations, committees, working groups, and unit-level initiatives by coordinating deliverables, maintaining status updates and action logs, preparing administrative materials, tracking milestones, and following up on assigned operational items. Assist with implementation and coordination of OGC administrative priorities, process improvements, office-wide initiatives, and related operational support activities as needed.
  • Job Duty 9 - Plan, coordinate, and support meetings, events, workshops, travel, and program activities, including scheduling, calendar coordination, logistics, materials preparation, reservations, vendor coordination, budgeting support, and travel arrangements.
  • Job Duty 10 - Perform other duties as assigned.

Proposed Salary

Salary range: $75,000 - $83,000. Commensurate with education and experience.
