Job summary

Georgia Tech is seeking an experienced program administrator to provide promotional, administrative, and financial services in support of assigned programs within university units. This role coordinates marketing, program operations, and development while collaborating with management, staff, vendors, and sponsors.

Job Summary

Provide promotional, administrative, performance assessment, and financial/accounting services in support of assigned program(s) within a research center, academic unit, or other campus units of a school. These functions may encompass a variety of activities related to program success including coordination of program marketing, program administration, program operations, and program development. This position will interact on a consistent basis with research, academic and administrative management and staff with a school or center and across campus, vendors and sponsors. This position typically will advise and counsel research, academic and administrative management and staff with a school or center and across campus, vendors and sponsors. Responsibilities
  • Design/develop promotional and marketing materials to include those developed for specific target audiences in support of program outreach efforts.
  • Plan, schedule and coordinate promotional events.
  • Coordinate administrative activities associated with program operations such as procurement, records maintenance, compliance, meeting arrangements and minutes, and document preparation.
  • Develop, analyze, reconcile and report financial data related to program operations.
  • Develop and maintain performance assessment tools applied in program review to measure and report progress.
  • Collaborate with internal and external entities to aid institutional or program support.
  • Perform other duties as assigned.
Required Qualifications
  • Educational Requirements: Bachelor's Degree or an equivalent combination of education and experience.
  • Other Required Qualifications: Overnight travel required for project delivery; flexibility in on-site daily service delivery hours (due to client shift schedules, project requirements).
  • Required Experience: Four to six years of job‑related experience.
Preferred Qualifications
  • Ability to utilize software that may be unique to unit or discipline may be preferred.
  • Preferred Educational Qualifications: Bachelor's Degree.
  • PMP‑ certified.
  • Experience in a higher education setting.
  • Experience tracking projects using work management software (e.g., Monday.com, Smartsheet, etc.).
Knowledge, Skills, & Abilities

This job requires working knowledge of research program promotion and administration. Included are skills in development and administering program assessment tools, marketing, and financial analysis and reporting. Also required are skills in planning, organization, spoken and written communications, scheduling and customer service. Use of office and specialized computer applications and databases are required.

Salary range: $66,883.00 - $74,841.00 commensurate with qualifications and years of experience

This is not a supervisory position. This position does have financial responsibilities. No, this position will not be required to drive. This role is considered a position of trust. This position does require a purchasing card (P-Cd). This position will not travel. This position does not require security clearance.

Other Duties & Responsibilities
  • Serve as the main point of contact for VPSEWB Office initiatives and for internal stakeholders, faculty, and students; serve as liaison to appropriate campus business units, working to resolve operational matters.
  • Manage meetings, retreats, training sessions, and key signature events, including evaluation and selection of venues and services, sponsor and volunteer relations, budgeting, logistics, equipment, materials, and travel.
  • Manage the preparation of financial reports and schedules; budget forecasting, monitoring and cost‑tracking preparation; and assist in tracking office, program, and event expenses to ensure they remain within budget.
  • Create aesthetically pleasing brand assets via Adobe Illustrator and Canva, and functional, user‑friendly websites via Drupal while adhering to Georgia Tech brand style guides.
  • Create and maintain program and event documentation, including project plans, schedules, meeting notes, status reports, and budgets. Keep all documents up to date and easily accessible in shared folders.
  • Track program and event performance, identify and problem‑solve potential risks or delays, and regularly report program status to stakeholders.
  • Contribute to the development and improvement of program and event management processes and methodologies to enhance efficiency.
  • Provide executive administrative management; manage activities to ensure a well‑executed, highly complex schedule of daily activities; and serve as the primary scheduling contact with the campus and external community.
