Within UAA, the Halbert and Nancy Robinson Center for Young Scholars (RC) at the University of Washington is a leader in the nation for developing programs that serve highly capable young pre-college and college students. Through access to early entrance programming, the RC prepares younger students for college, providing them with challenging and accelerated learning opportunities in a vibrant, intellectual community setting. The RC provides outreach through summer and Saturday enrichment, educator professional learning, and online engagement opportunities.

Position Summary:

The Program Manager for RC Administration & Transition School (TS) plays a key role in managing the Robinson Center and coordinating Transition School operations that support the success of the Robinson Center and its Transition School. This position is responsible for a wide range of program responsibilities, including event coordination, student records management, admissions support, and additional leadership and administrative functions. The role requires independent judgment, organizational expertise, and a deep understanding of Center programs, policies, and procedures.When necessary, liaise with students’ parents/guardians in support of a positive college transition.

This role will report directly to the Executive Director of the Robinson Center and operates under two types of supervision depending on the project. For RC related projects, the Executive Director provides direct supervision. For Transition School related projects, the role is supervised by the Head of School. The role will be responsible for the following duties:


DUTIES AND RESPONSIBILITIES

Robinson Center (RC) & Transition School Program Management – 55%

  • Serve as the initial point of contact for the Transition School students and families, and Robinson Center general public, communicating key dates, policies and protocols through phone, email, and in-person interactions.
  • Maintain and coordinate academic reports; collect and organize year-end documentation and propose
  • Manage the Transition School and RC general communications, consulting with students and family members, and providing guidance when responding to inquiries.
  • Create and manage all onboarding/offboarding tasks of Transition school students each academic year.
  • Maintain office equipment operations and liaise with IT support for technical needs.
  • Supervise 2-3 student hourly employees.
  • Manage and reconcile Transition School operational expenditures (approx $100,000k annually).Guggenheim Annex Facilities Coordination – 15%
  • Act as Building Coordinator for the Guggenheim Annex, including designing and executing emergency management policies and procedures .
  • Train 18 - 20 RC staff employees and 20 Transition School students on proper emergency management protocol .
  • Liaise with Facilities Services, Environmental Health and Safety, and vendors for maintenance and safety issues.
  • Track facility usage, coordinate key distribution, and manage university protocols as needed.Transition School Admissions & Student Records Management – 15%
  • Maintain organized, secure student records in digital systems.
  • Maintain policies and procedures for TS and the RC records management
  • Enter, track, and archive student documentation and tuition-related information.
  • Ensure compliance, through regular auditing, with confidentiality standards and institutional policies.
  • Provide responsive, informative support to prospective students and families via email, phone, virtual meetings, and information sessions.
  • Manage applicant communications and maintain data in the admissions platform.
  • Keep the admissions section of the RC/TS website current and accessible.
  • Support the Transition School tuition process including communications with families, scope is $560,000.Program and Event Coordination – 10%
  • Co-Lead with the Head of School and coordinate key programs and events including orientation, graduation, family engagement activities, and field trips.
  • Manage venue bookings, vendor communications, and ordering of event-related materials.
  • Coordinate permissions and travel arrangements for field trips.
  • Support outreach through document creation, email communications, website updates, and social media posts.Contribution to the RC– 5%
  • Assist Executive Director with drafting documents, coordinating internal projects, and preparing assessment materials for reports.
  • Participate in Robinson Center, UAA, and other campus meetings and committees as needed.
  • Exercise discretion and informed judgment to support the mission of the Transition School and Robinson Center.
  • Other related duties as assigned. MINIMUM REQUIREMENTS
  • Bachelor’s Degree in education, administration or related field
  • At least three years of experience in the K-12 setting, program support, or student services Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
  • Experience with recruiting, hiring and supervising staff
  • Advanced computer skills, including excellent working knowledge of Microsoft Office, Outlook, Google Suite and database management programs
  • Demonstrated professional customer service, team collaboration, and conflict resolution skills
  • Demonstrated ability to organize and prioritize multiple tasks and work effectively under pressure of overlapping deadlines
  • Proven commitment to promoting equity and diversity in educational settings;
  • Experience in working with diverse populations and fostering an inclusive environment DESIRED QUALIFICATIONS
  • Master’s degree
  • Demonstrated management experience in K-12 enrichment programs
  • Experience monitoring purchases
  • Ability to contribute and implement outreach initiatives
  • Background in adolescent development, youth protection, or equity and compliance WORKING ENVIRONMENT CONDITIONS
