The Program Manager, Certification & Accreditation will play a key role in supporting the CSBS Accreditation and Certification programs. This role requires strong collaboration, analysis, innovation, and communication skills, with a focus on facilitating the efficient processing & analyzing of data, partnering with the accreditation & certification leads, and leveraging technology to enhance the effectiveness of the programs. The Program Manager will be responsible for managing key operational aspects of both programs, developing & delivering reports, monitoring & analyzing performance indicators, and ensuring that the overall accreditation and certification processes remain aligned with CSBS priorities and strategic goals.
Essential Functions

  • Certification & Accreditation Program:
  • Manage agency contacts, profile updates, accreditation review team members, and the A&C team’s activities.
  • Coordinate logistics and activities of Accreditation review team members alongside the Accreditation Director to ensure efficient reviews.
  • Manage the processing & analysis of data and information associated with the agency’s Accreditation self-evaluation questionnaire (SEQ).
  • Provide organizational and technical support for day-to-day accreditation & certification activities, including managing the online system and reporting data.
  • Support the Performance Standards Committee, Accreditation Review Teams and accreditation contacts of state agencies.
  • Manage the data strategy associated with CSBS accreditation & Certification programs in line with the CSBS strategic plan and AWD priorities.
  • Prepare and submit monthly reports to leadership and CSBS governance bodies.
  • Manage and analyze NMLS Help desk and SNOW ticket reporting and trending
  • Technology, Data Analysis & Process Improvement:
  • Maintain program technology systems, such as dashboards and shared resources, and coordinate with internal teams to ensure accurate data input, access, and reporting.
  • Facilitate the collection and processing of data elements required for reporting and analysis related to both Accreditation and Certification dashboards.
  • Develop and maintain the accreditation program materials and document library, identifying automation opportunities.
  • Manage the AOS and ECP daily activities, assisting with UAT when directed.
  • Collaborate with the Certification Lead on LMS transition activities and ongoing LMS Certification maintenance items
  • Collaborate with internal teams to gather and organize program data to support KPI monitoring and performance reporting.
  • Proactively alert Accreditation leaders to potential risks to an agency’s accreditation status based on data analysis and KPIs.
  • Adhere to budgetary requirements for agency Accreditation and Certification.
  • Oversee the preparation of annual billings and collection status for accreditation fees in collaboration with the Accounting team.
  • Recognition & Communication Management:
  • Rebuild and streamline the Accreditation & Certification certificate creation and delivery process to make it cost-effective and efficient, ensuring the process is a "special" event for recipients.
  • Manage the Examiner Certification program, including preparation and mailing of certificates, updating continuing education records, and ensuring internal audit processes are followed
  • Manage Accreditation/re-accreditation/Certification recognition and communication templates for announcements, publicity, and media sharing by agencies and certification recipients.
  • Training Records Management (TRM) Manage training records on behalf of state agencies and maintain relevant databases.
  • Engagement & Communications:
  • Execute engagement and communications plans across the Accreditation & Certification programs to promote the value of accreditation and certification.

Additional Responsibilities

  • As requested, provide support in managing various certification & accreditation program activities to ensure they are conducted timely and efficiently.
  • Administer the CSBS scholarship program, including the case study competition.
  • Other duties as assigned.

Minimum Qualifications

To perform this job successfully, an individual should possess the knowledge, skills, and abilities listed and meet the amount of education, training and/or work experience required.

Education and Experience
  • Bachelor’s degree in a relevant field (e.g., business, management, public administration, or related disciplines).
  • 3 to 6 years of experience in program or project administration, data coordination, or support roles – ideally within an accreditation, certification, or nonprofit environment.
Knowledge, Skills, and Abilities
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with technology tools, data management systems, and dashboards.
  • Knowledge of accreditation processes and program management preferred.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Strong attention to detail and ability to work collaboratively across teams.
  • Experience with budget management and financial reporting is a plus.
