Job summary

Harborview Otolaryngology Clinic at the University of Washington invites applications for a Program Coordinator/Scheduler. This full-time, 40-hour-per-week role is on-site with no telework and a day shift, Monday–Friday, located in Seattle.

The position entails triaging medical information, scheduling post-surgery diagnostics and follow-ups, coordinating between patients and physicians, handling pre-admission tests and anesthesia coordination, and ensuring proper transfer of patients from

Qualifications

• High school graduation or equivalent.
• Two years of experience in the program specialty.
• Equivalent education and/or experience may substitute for minimum qualifications.

Responsibilities

• Triage medical information in a specific medical or surgical specialty.
• Schedule post-surgery diagnostic procedures and follow-up appointments.
• Coordinate patient appointments between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments, admission, or surgery.
• Coordinate anesthesia.
• Obtain all necessary medical records, diagnostic studies, pathology items, etc., that are needed for patient care.
• Assist in scheduling new patient appointments by triaging to appropriate department and physician.
• Enter appointment information in online appointment system.
• Coordinate pre-admission tests and procedures.
• Schedule and ensure pre-anesthesia works-ups are completed.
• Coordinate the direct transfer of patients from outside hospitals to UWMC with physicians, medical staff, and Admitting.
• Other assigned duties.

Primary Job Responsibilities

• Triage medical information in a specific medical or surgical specialty
• Schedule post-surgery diagnostic procedures and follow‑up patient appointments
• Act as a liaison between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments, admission, or surgery. Will coordinate the exchange of information either written or verbally before and after patients are seen
• Coordinate anesthesia
• Obtain all necessary medical records, diagnostic studies, pathology items, etc., that are needed for patient care
• Assist in scheduling new patient appointments by triaging to appropriate department and physician
• Enter appointment information in online appointment system
• Coordinate pre‑admission tests and procedures
• Schedule and ensure pre‑anesthesia works‑ups are completed
• Coordinate the direct transfer of patients from outside hospitals to UWMC with physicians, medical staff, and Admitting
• Other assigned duties

Requirements

• High school graduation or equivalent
• AND two years of experience in the program specialty
• OR equivalent education/experience
