Job summary

University of Colorado System is seeking a Program Coordinator within System Advancement's Prospect Development team. The role supports data accuracy for proposals, pipelines, and metrics, handling reactive updates and proactive data health tasks.

The position reports to the Senior Director of Prospect Development and Data Management and operates in a hybrid work environment with occasional in-office requirements. Strong data skills and fundraising knowledge are preferred.

Responsibilities

Position Summary:

System Advancement's Prospect Development team (which encompassesboth Research & Analytics and Portfolio Intelligence functions)is seeking a detail-oriented, data savvy coordinator to support theaccuracy of our proposal, pipeline and metric data. This data isthe basis for tracking and insights that help fundraisers andfundraising leaders plan and prioritize their work. With arelatively new database (Salesforce Ascend) and new databasefeatures in the works, monitoring this data is more important thanever. This role involves both reactive data entry/updates, as wellas proactive work to monitor and improve the health of our data. Italso serves an important customer service role as manager of thePortfolio Intelligence work queue. Prospect Development supports anaverage of 100 major gift officers and their respective portfolios,approximately 10,000-12,000 managed prospects, and a significantfundraising pipeline of planned and active philanthropic proposalsfor the University of Colorado.

The Program Coordinator is exempt from the State of ColoradoClassified Staff system and reports to the Senior Director ofProspect Development and Data Management.

Where You Will Work:

Applicants must be Colorado residents or able to relocate toColorado within a month of starting employment with University ofColorado System Administration.

The CU System Office of Advancement follows a “flexibility first”approach that blends a highly hybrid work environment (part workfrom home, part in office) with planned in-office work tofacilitate collaboration, strategic planning, and teaming. Thismodel currently includes two (2) required callback weeks annually —when all our colleagues are expected to be together in the office.Plus up to two (2) additional in-person meeting weeks each year asdetermined by the supervisor.

Please note, leadership may adjust in-office work requirementswith a minimum of three months' notice before any change can beimplemented.

Duties and Responsibilities:

Duties and responsibilities of the position include, but are notlimited to:

  • Data entry: maintain data entry standards and adhere to relevant data policies in entering or updating proposal, contact report, assignment, referral, and fundraiser unit/employment datedata.
  • Data integrity: monitor and address scheduled data integritychecks to correct issues with proposal, contact report, assignment,or referral data. Help develop new integrity checks as needed, bynoting issues and defining requirements for new checks.
  • Large projects: manage large cleanup projects as identifiedthrough data integrity work, including working with leadership andtechnical teams to suggest systemic fixes, and working throughlarge amounts of data to make corrections.
  • Proposal approval: regularly monitor and reassign or addressapproval notifications triggered by entry or updates to proposalsby campus database users.
  • Queue monitoring: categorize and distribute work queue ticketsand identify priorities or problems such as overdue tickets.
  • Training: train new student or other staff in queue managementprocedures, proposal approvals, and bulk uploads. Create SOPs orother supporting documentation as needed.
  • Administrative support for Prospect Development leadership andteam including scheduling and vendor logistics.
  • Other duties as assigned.

Salary: The anticipated hiring range has been established at$59,200- $62,000 .

CU System Administration takes into consideration a combination ofthe selected candidate's education, training and experience as itrelates to the position, as well as the position's scope andcomplexity, internal pay equity and external market value whendetermining a salary level for potential new employees.

Qualifications:

Minimum Qualifications:
  • Bachelor's degree from an accredited institution of highereducation, or equivalent professional experience (professionalexperience may be substituted for the educational requirement on ayear-for-year basis)
  • One (1) year of equivalent experience that includesadministrative experience, data and calendar management, utilizingMicrosoft Office products, and experience with databaseapplications
Preferred Qualifications:
  • Two (2) years' equivalent experience as stated above
  • Experience working in a nonprofit organization.
  • Experience working in a development/fundraising role.
  • Experience working in higher education or a medicalsetting.
  • Experience with database applications; CRM software forfundraising and donor Relations, such as Ellucian Advance orRaiser's Edge, or similar software.
  • Knowledge of fundraising concepts.
Knowledge, Skills, and Abilities:

To be successful in this position, candidates will need thefollowing:
