Program Coordinator, Office of Postdoctoral Initiatives

Position Full/Part-Time: Part-Time

This is a part-time (75% appointment/30 hours per week), non-exempt position. The job operates in a professional office environment. Days and hours of work are Monday through Friday, 7:45 a.m. to 4:30 p.m. Evening and weekend hours are occasional (historically 8/year), as program needs dictate.

Position Overview:

The Program Coordinator, Office of Postdoctoral Initiatives will provide support to new and existing programs aimed at promoting career development and community among postdoctoral associates (9546) and postdoctoral fellows (9560). Under the direction of the Assistant Director of Postdoctoral Initiatives and in collaboration with Graduate School staff, the Coordinator will explore and seek out additional resources to support postdoctoral scholars, assist with development and implementation of programming, including collaborating with institutional stakeholders and the AD to design and implement new offerings, and execution of related events. In addition, the Coordinator will carry out the administrative tasks and program support necessary to the efficient operation of the Office of Postdoctoral Initiatives, including program management and updates, and drafting and disseminating communications from the Office of Postdoctoral Initiatives.
The Coordinator reports to the Assistant Director for Postdoctoral Initiatives, Graduate School.

Responsibilities
Program Coordination and Development (55%)

  • Collaborate with AD on developing and implementing new programming
  • Resource Development & Advocacy
    o Explore and co-develop new campus partnerships to support postdocs
    o Assist with postdoc advocacy resource development through cross-institutional data and policy updates from the National Postdoctoral Association, as well as feedback from UMN postdocs and campus stakeholders
    o Help with resource-gathering and organizing secondary literature on best practices on priority areas of postdoctoral support, including but not limited to: faculty mentorship, career development and transferable skills, and engaging with industry;
    o Collaborate with AD on creation of a postdoc alumni directory, intake and exit surveys for postdocs, and an annual summary of OPIâs programming and advocacy.
  • Serve as contact for OPIâs mentorship program participants and manage regular check-ins
  • Support virtual and in-person postdoc orientations to be held once every two months

Office Administration & Communications (30%)

  • Assist with preparation of monthly newsletter for postdocs, The Post
  • Solicit and manage feedback for events using OPI templates
  • Incorporate regular revisions of the postdoc handbook
  • Provide administrative support with annual award cycles and bi-annual Career Development grant cycles
  • Lead monthly email welcome of and correspondence with new postdocs
  • Co-manage OPI GoogleDrive and OPI email account

Event Support (10%)

  • Assist with planning of regular virtual and in-person panel discussions, webinars write-ins, community and networking events;
  • Help with event set-up and break-down, including clean up and moving items across the Twin Cities campuses (East Bank and St. Paul), as well as signing in and welcoming postdocs;
  • Presence at annual National Postdoctoral Appreciation Week (September) and OPIâs other signature events

Other Duties as Needed or Assigned to support the Graduate School Mission (5%)

  • Attend and actively participate in All-Team meetings
  • Serve on and or support committees related to the work of the OPI, and/or Graduate School
  • Support Graduate School events as needed

Required Qualifications and Skills:

  • BA/BS in humanities, social science or related field or combination of related education and work experience to equal 4 years;
  • Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint), Google Suite, Canva, and Zoom.

Preferred Qualifications and Skills:

  • Experience in program management, development, both independently and as part of a team;
  • Strong organizational skills and attention to detail;
  • Demonstrated effective and professional oral and written communications skills, as may be demonstrated by experience with presentations to a range of audiences;
  • Experience with maintaining the highest level of confidentiality and the ability to work discreetly with sensitive information, as related to student and employment records;
  • Experience working with individuals from international backgrounds.
