Job summary

Qualifications

  • High School Diploma or Equivalent required.
  • Associate’s Degree related field preferred.
  • 3+ years of administrative or program support experience required.
  • Experience managing complex scheduling across multiple stakeholders, departments, or facilities preferred.
  • Experience with database management, records tracking, or certification systems preferred.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams) required; supply ordering and inventory management experience preferred.
  • Experience in healthcare or academic medical center environment preferred.

Responsibilities

Job Summary

The Central Venous Catheter (CVC) Program Coordinator provides administrative and operational support to the MGB CVC Safe Insertion Training and Competency Program across Massachusetts General Hospital (MGH) and Brigham and Women's Hospital (BWH), operating under the AMC Office of the Chief Medical Officer. Reporting to the Executive Director of the AMC OMCO with dotted line reporting to the Co-AMC CVC Program Medical Directors, the Coordinator serves as the primary operational contact for training logistics, records management, supply procurement, and committee support.

This 0.5 FTE role supports AMC trainees and attendings requiring training, working closely with department administrators, training program leaders, and simulation center staff at STRATUS (BWH) and the Lunder Learning Lab (MGH).

PRINCIPAL DUTIES AND RESPONSIBILITIES
TRAINING SCHEDULING AND COORDINATION
  • Coordinate with department and training program leaders across both AMCs to enroll and schedule trainees and attendings annually across AMC departments and divisions, ensuring all required participants complete training prior to clinical CVC insertions.
  • Serve as the primary liaison with simulation center staff at the Lunder Learning Lab (MGH) and STRATUS (BWH) to ensure sessions are appropriately staffed and resourced.
  • Coordinate remedial training for operators who do not achieve competency on initial assessment, and support the certification of departmental CVC Instructors at both sites, in collaboration with the Co-Program Medical Directors.
RECORDS AND DATABASE MANAGEMENT
  • Maintain accurate trainee logs and program records for all trained operators across both sites, including competency assessments, credentialing support data, and attending physician procedure volumes.
  • Manage the program's certification tracking database, ensuring timely entry of completed training and flagging operators due for re-certification or remediation.
CURRICULUM AND HEALTHSTREAM SUPPORT
  • Assist the Co-Program Medical Directors with periodic updates to HealthStream (HS) training modules, including US-guided IJ CVC placement, CLABSI prevention, CVC observation, subclavian catheter placement, and US-guided peripheral IV access (SonoSite and SiteRite systems).
  • Coordinate with HealthStream administrators to maintain updated training assignments across departments and training programs.
SUPPLY AND EQUIPMENT MANAGEMENT
  • Manage timely ordering and inventory of all simulation supplies at both sites, including central line kits, trainer inserts, and PPE, tracking kit reuse to optimize utilization and support budget planning.
  • Coordinate with Infection Control, Materials Management, and Biomedical Engineering to ensure compliant supply inventories and ultrasound equipment maintenance.
COMMITTEE AND PROGRAM OPERATIONS SUPPORT
  • Support CVC Committee activities, including preparing agendas, documenting minutes, tracking action items, and maintaining records of reported adverse events and implementation of recommended modifications.
  • Assist in preparing program communications, reports, and presentations for departmental leaders and institutional stakeholders, and support other program operations as assigned.
QUALIFICATIONS
  • High School Diploma or Equivalent required
  • Associate's Degree Related Field of Study preferred
  • 3+ years of administrative or program support experience required
  • Experience with program or project coordination and administrative support required.
  • Experience managing complex scheduling across multiple stakeholders, departments, or facilities strongly preferred.
  • Experience with database management, records tracking, or certification systems preferred.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams) required; experience with supply ordering and inventory management preferred.
  • Experience within a healthcare or academic medical center environment preferred.

WORKING CONDITIONS

Work is performed across multiple MGB sites, with regular presence at simulation facilities at MGH (Lunder Learning Lab) and BWH (STRATUS). Some hybrid flexibility may apply for administrative tasks. Local travel between sites is required.
