JOB SUMMARY
This position is research-focused. The Program Coordinator I will provide comprehensive administrative support across multiple functions for research faculty and their teams. Specific responsibilities include:
- Grant Submission Management: Assist with preparing and submitting grant proposals, tracking funding milestones, and ensuring compliance with grant guidelines.
- Clinical Trial Coordination Assistance: Support the coordination of Data Safety Monitoring Board (DSMB) and Advisory Council meetings for clinical trials, including participant compensation.
- Administrative Support: Manage complex scheduling, meeting coordination, and travel arrangements using systems such as Concur and Workday. Prepare detailed reports, presentations, and documentation for research teams, faculty, and external collaborators.
- CME and Event Coordination: Organize and manage Continuing Medical Education (CME) events, including CV Grand Rounds, workshops, and external conferences. This involves coordinating with guest speakers, collaborating with Advocate Health and Atrium Health researchers, and working with external organizations to ensure successful event publication and execution.
- Technology Proficiency: Utilize skills in Microsoft applications, EndNote, Concur, and Workday to support research team operations. Adapt technology for the successful execution of academic events.
- Communication & Representation: Serve as the primary contact for internal and external research teams and departmental leadership. Communicate effectively and represent the Department of Cardiovascular Medicine professionally.
Additionally, this role involves planning, designing, and implementing programs; assisting in data collection; establishing protocols; reviewing program offerings; managing data and financial reporting; and overseeing special projects, including process improvement initiatives and strategic planning support.
EDUCATION/EXPERIENCE
Bachelor's degree in a related field or equivalent education and experience. Prior program management experience is preferred.
ESSENTIAL FUNCTIONS
- Design, develop, and implement projects aligned with departmental needs.
- Create reports and analyze data; make recommendations; prepare progress reports; suggest and implement improvements.
- Organize and participate in conferences and committee meetings; coordinate with staff and faculty to ensure successful execution.
- Draft various reports; assist in departmental budget management by tracking expenditures and verifying authorizations.
- Plan, execute, and evaluate major projects; guide others; design forms, newsletters, web pages, and tools to support projects.
- Prepare reports and correspondence that establish precedents; sign documents as delegated.
- Support the Administrative Director with strategic projects and process improvements.
- Manage data in relevant databases for quality reporting and operational initiatives.
- Coordinate activities and provide support to Medical School committees.
- Perform other related duties as needed.
SKILLS & QUALIFICATIONS

- Proficiency in PC-based spreadsheet and presentation software
