Job summary

Search Solutions in Montebello, CA seeks a Programs Coordinator to support a variety of program initiatives with our Management and Programs teams, plus external contacts such as City and County entities and foundations. This role covers outreach, recruitment and monitoring to build partner relationships.

Responsibilities include development and compliance of programs, reporting, and coordinating deliveries and distribution while ensuring safety and efficiency.

Qualifications

  • College degree in Business Administration, Communication Studies, Public Relations or similar; four (4) years related experience.
  • Demonstrates professionalism and cultural sensitivity when coordinating activities and communicating with customers and the community.
  • Maintains professional appearance and demeanor during all interactions with staff and the public.
  • Communicates accurately and timely with team members; strong planning and interpersonal skills.
  • Self-starter who works effectively under pressure to meet goals and objectives.
  • Demonstrates problem-solving and organizational abilities; participates in operational improvements.
  • Displays integrity and professional conduct at all times.
  • Computer experience with Microsoft products.
  • Ability to carry and lift 30 to 40 pounds.
  • Possess a valid California Driver’s License and travel within Los Angeles County as required.

Job Description

The position of the Programs Coordinator will be responsible for supporting and coordinating a wide variety of program initiatives in collaboration with our Management team, Programs team, and external contacts such as City and County entities, Civic Organizations, Foundations, etc. The initiatives will include implementation, recruitment, outreach and monitoring.
The candidate must have the drive and initiative to help identify and pursue new potential program partners and be able to build a positive working relationship with staff, management/internal team and external contacts.

Duties and Responsibilities
Partnership & Outreach

Identify, assess and pursue new partnership opportunities, through various outreach efforts. Organize and oversee or serve as representative of the organization at partner and community/committee/council meetings, outreach events. Coordinate, support and monitor new and existing program partners and track program progress. Communicate with program partners and internal team (Operations, Logistics, Volunteer Department, etc.) regarding orders, delivery/pick-up and distribution.

Program Development & Compliance

Participate in the development, testing and implementation of new program and distribution methods to improve efficiency and effectiveness. Adapt to or make recommendations for changes in program development and distributions. Support the growth and development of our programs in areas such as grant funding requirements, state and local food safety requirements, program compliance/budget, etc. Work with managers and external partners to ensure compliance with food safety as well as nutritional and dietary requirements.

Operations & Reporting

Provide timely reporting to management. Oversee data reporting and submission, including organizing data for reports. Draft and place agency food and produce orders in accordance with budget. Where applicable, create delivery schedules and/or food order transfer sheets. Coordinate and/or assist with the setup and breakdown of distribution and loading/delivery areas, ensuring a safe and orderly service area. Where applicable, assist with the distribution flow, ensuring that the area is clear for foot traffic.

Skills and Qualifications
  • College degree in Business Administration, Communication Studies, Public Relations or similar preferred; four (4) years related experience; or combination of education and experience
  • Demonstrates professionalism and cultural sensitivity in coordinating activities and communicating with all customers, peers, and the community at large.
  • Conducts self in a professional, respectful and courteous manner during all interactions. Works effectively and collaboratively with others toward common goals. Presents a professional appearance and demeanor.
  • Communicates accurately, honestly, supportively and in a timely manner with department and interdepartmental team members. Demonstrates strong planning, organizing, time management and interpersonal skills.
  • Self-starter, Works effectively under pressure to meet established goals and objectives.
  • Demonstrates problem-solving and organizational abilities. Participates in operational aspects of the department and maintains/participates in performance improvement activities within the department.
  • Displays professional and personal integrity.
  • Computer experience and proficiency with Microsoft products
  • Ability to both carry and lift 30 to 40 pounds
  • Possess a valid California Driver’s License and have access to a reliable, insured vehicle. Must be able to travel within Los Angeles County as required. Work assignments may include various facilities and hubs across Los Angeles County, including locations in Los Angeles and the surrounding areas. Flexibility to commute between our facilities as needed is essential.
