Qualifications

Responsibilities

  • Coordinate examination registration activities to ensure applications and documentation are processed accurately and timely.
  • Apply examination policies and terms consistently while ensuring compliance.
  • Assist candidates with registration, withdrawals, refunds, accommodations, and policies.
  • Monitor emails and inquiries; respond professionally and accurately.
  • Review testing accommodations requests and coordinate supporting documentation.
  • Prepare routine reports and dashboards for operational monitoring.

Job description

Under general supervision, the Program Coordinator, Exam Registration supports Certification & CE Operations by coordinating examination registration activities, administering examination policies and procedures, maintaining accurate candidate records, and providing high-quality support to CFP® exam candidates and other stakeholders. The role contributes to the consistent, accurate, and efficient delivery of the CFP® certification examination while supporting operational excellence, quality assurance, and continuous improvement.

Essential Functions
  • Coordinate examination registration activities to ensure candidate applications, deadlines, and supporting documentation are processed accurately and timely.
  • Apply CFP® examination policies, procedures, and terms and conditions consistently while ensuring candidate compliance and adherence to established requirements.
  • Assist candidates with examination-related processes, including registration, withdrawals, refunds, testing accommodations, special requests, and examination policies.
  • Monitor examination email accounts and other communication channels; respond to candidate and stakeholder inquiries in a timely, accurate, and professional manner.
  • Conduct the initial review and processing of testing accommodation requests and coordinate supporting documentation for further review, as appropriate.
  • Monitor examination registration activities, maintain operational calendars, and prepare routine reports and dashboards to support operational monitoring and departmental activities.
  • Monitor examination schedules, operational deadlines, and candidate milestones to ensure timely processing and completion of examination-related activities.
  • Maintain accurate examination records within CFP Board systems and ensure the integrity of candidate data.
  • Coordinate the setup, testing, administration, and ongoing maintenance of examination registration pricing, including promotional offers, discounts, and special pricing configurations, ensuring accurate implementation within CFP Board systems.
  • Monitor operational trends and identify opportunities to improve operational efficiency, consistency, and candidate experience.
  • Assist with scheduling, communications, materials preparation, and implementation of examination webinars, meetings, and candidate outreach activities.
  • Identify operational issues, recurring stakeholder questions, and process improvement opportunities; recommend solutions that improve efficiency, consistency, quality, and the stakeholder experience.
  • Participate in cross-training and provide operational support across Certification Operations functions, including Experience, Examination Registration, Education Verification, Certification Maintenance, and other operational areas as business needs require, particularly during peak volume periods and changing business needs.
  • Collaborate with Standards & Competency, Program & Partner Operations, Contact Center, Marketing, IT, and other cross-functional teams to resolve candidate issues and support organizational initiatives.
  • Deliver a consistent, accurate, and responsive candidate experience throughout the examination registration lifecycle.
  • Assist the Manager, Certification Operations, and Director, Certification & CE Operations with department initiatives, operational projects, reporting, and continuous improvement efforts.
  • Perform other duties as assigned.
Background/Skills/Abilities Preferred
  • Bachelor's degree in business administration, public administration, psychology, education, communications, or a related field.
  • One to three years of professional experience supporting certification, credentialing, examination administration, higher education, customer operations, or a related field.
  • Knowledge of certification, testing, or credentialing operations preferred.
  • Demonstrated ability to coordinate multiple projects, processes, or operational activities while meeting deadlines.
  • Strong customer service orientation with the ability to communicate effectively and professionally with diverse stakeholders.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to interpret and consistently apply established policies, procedures, and operational guidelines.
  • Ability to identify issues, gather relevant information, and elevate complex matters appropriately.
  • Ability to prioritize competing responsibilities and adapt to changing business needs.
  • Experience working collaboratively across teams to achieve shared goals.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience working with association management systems (AMS), CRM platforms, examination management systems, or similar databases preferred.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive candidate information.

This position is based in the Washington D.C. office and works a hybrid schedule which could be changed at any time.

CFP Board is an Equal Opportunity Employer. The applicable starting annual base salary is anticipated to be in the range of $54,000.00 to $63,000.00. In addition to base salary, total compensation includes incentive compensation for which employees are eligible based on completion of individual goals.
