About the Role

The Enterprise Services Program Coordinator provides administrative, operational and project coordination support for Enterprise Services programs, projects, procurement activities and vendor oversight initiatives. This role supports project execution by coordinating documentation, scheduling meetings, communicating, reporting and other program activities across the organization.

Essential functions and Roles and Responsibilities:

  • Support assigned programs as led by the Director or assigned Program or Project Manager
  • Support Vendor Oversight Program and Committee activities
  • Maintain standard procedures, templates and project documentation
  • Provide coordination and administrative support to procurement activities including RFP distribution, tracking and evaluation activities in collaboration with the Program Manager and stakeholders
  • Coordinate, schedule, and support meetings across internal calendars
  • Maintain department shared spaces, such as SharePoint sites, MS Teams, and intranet site
  • Execute administrative activities in support of projects and programs, including, but not limited to preparing meeting agendas, taking and distributing meeting minutes using technology tools, tracking tasks and deliverables in conjunction with Program and Project Managers
  • Identify and implement process improvements
  • Collaborate and communicate with internal and external stakeholders
  • Support user access and audit activities for confidential systems, following written procedures.

  • Ability to interpret business & technical information
  • Ability to build productive working relationships and provide responsive support to stakeholders
  • Skill in scheduling, facilitating, and tracking meetings, action items, and deliverables.
  • Proficient with MS Office Suite, including Excel skills
  • Ability to coordinate technical projects & programs
  • Ability to gather and organize information to meet audience needs
  • Excellent oral and written communication skills

Compensation and Benefits:

The position is FLSA Non-Exempt and is (not) eligible for overtime. Based on market data, this position grade is 43N (see full range below) and has a 5% annual incentive target based on company, department, and individual performance goals.
