Job Summary

Program Coordinator plays a pivotal role in supporting the day-to-day coordination and execution of events, projects, and activities across the Center for Global Business (CGB)’s three core initiatives: the Global Talent & Mobility Initiative (GTMI), Global Development Initiative (GDI), and Future Leaders Initiative (FLI) within the Jindal School of Management (JSOM) at The University of Texas at Dallas. This highly visible position also leads the coordination of recruitment, promotion, and program delivery for the Future Leaders Program (FLP), helping to create impactful leadership development experiences for students.

The role is responsible for coordinating financial reconciliation, processing receipts and invoices, and maintaining accurate financial records and documentation. Working closely with CGB leadership, the CGB Student Council, the Jindal School community, and corporate partners, the Program Coordinator helps ensure programs and events are delivered efficiently, key milestones are met, and stakeholders remain engaged, informed, and connected to CGB's mission.

Minimum Education and Experience

Bachelor's degree in a related field, with 3-5 years of experience directly related to the duties and responsibilities specified; or an equivalent combination of education and experience.

Preferred Qualifications
  • Master's degree.
  • 1-3 years of experience in program/event coordination, project support, student services, or a related field.
  • Experience working in a higher education, nonprofit, or corporate program environment.
  • Experience with event planning or marketing/recruitment campaigns.
  • Familiarity with international business, global talent mobility, or economic development topics.
  • Experience supporting student organizations or leadership programs.
Knowledge, Skills, and Abilities (KSAs)
  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office/Google Workspace and comfort learning new tools (e.g., event platforms, CRM, or project management software).
  • Ability to work collaboratively with groups, including students, faculty, staff, and corporate partners.
Other Qualifications

Essential Duties and Responsibilities
Cross-Initiative Program & Event Coordination
  • Coordinate the planning, scheduling, and execution of events, workshops, webinars, and conferences across GTMI, GDI, and FLI.
  • Serve as the day-to-day point of contact for event logistics, including venue/room reservations, catering, materials, technology requirements, and on-site support.
  • Monitor project timelines and deliverables across all three initiatives, proactively identifying and communicating risks or delays to CGB leadership.
  • Maintain shared calendars, project trackers, and documentation to ensure initiatives remain aligned and on schedule.
  • Support the development and preparation of program materials, presentations, agendas, and post-event reports and summaries.
Future Leaders Program Coordination
  • Coordinate recruitment efforts for the Future Leaders Program, including program promotion, application processing, and communication with prospective participants.
  • Coordinate promotion of the program in partnership with the Future Leaders Alumni Association at UT Dallas and international stakeholders.
  • Support FLP marketing and outreach efforts through email campaigns, social media engagement, information sessions, and campus and community partnerships.
  • Assist in coordinating program delivery, including scheduling sessions, coordinating speakers and facilitators, and supporting participants throughout the program.
  • Track participant data, attendance, and feedback, and assist with reporting on program outcomes and program effectiveness.
Stakeholder Coordination
  • Serve as a liaison between CGB leadership and the CGB Student Council, helping coordinate student engagement in initiative activities and events.
  • Coordinate communications and logistics with corporate partners, sponsors, and guest speakers, ensuring a positive and professional partner experience.
  • Support the scheduling and coordination of meetings involving leadership, student leaders, and external partners, including the CGB Advisory Board.
  • Maintain accurate contact records and relationship-tracking data for corporate and community partners.
Administrative & Operational Support
  • Assist with budget tracking, purchase requests, and vendor coordination for program-related expenses.
  • Maintain program documentation, files, and records in accordance with university policies and procedures.
  • Provide general administrative and operational support to CGB leadership as needed.
  • Perform other duties as assigned in support of CGB's mission and strategic initiatives.
