The Opportunity

The Academic Program Coordinator supports the Campus Dean, Program Deans, and Registrar with all aspects of the program to ensure a meaningful and impactful experience and academic journey for Hult graduate students. In this pivotal full-time, on-site role, you will be driving program excellence, enhancing student satisfaction, shaping student success, and supporting faculty to deliver a seamless and impactful program experience.

Role Description

As an integral member of the campus postgraduate academic team, the Program Coordinator supports the student and faculty journey across specific program(s). This role works closely with all members of the Academic team to deliver the highest quality academic experience to students and support to faculty. Under the guidance of a Program Dean, the Program Coordinator provides administrative and course logistical support to program faculty, supports and organizes academic events and initiatives, ensures students are updated on key program milestones and events, and supports the program team with monitoring student progress throughout the program.

Key Responsibilities
  • Work alongside the Deanery and Academic Team with the day-to-day operations of the assigned academic program(s) and support with program level course coordination activities.
  • Assist assigned program faculty with administrative course support, preparation and logistics, including but not limited to collecting and organizing syllabi/blueprints, supporting new faculty with building course pages and conducting routine quality checks of course pages.
  • Maintain accurate faculty data and ensure course pages are up to date, aligned with academic standards, and subject to regular quality assurance reviews.
  • Support the Academic team with the planning and execution of faculty and program meetings.
  • Address faculty questions in accordance with institutional policies and procedures, escalating to Program Dean when necessary.
  • Organize and coordinate academic-related student extracurricular projects and networking/social events.
  • Support academic initiatives and special projects (e.g. organizing workshops, coordinating guest speakers or industry events, cross-campus coordination, etc.).
  • Track academic class guest speakers and ensure timely reporting of alumni and industry engagements on campus.
  • Support with coordination of Business Challenge clients and sessions to ensure a seamless experience for the Client and student teams.
  • Support with the recruitment and schedule coordination of Course Assistants’ and online course technical facilitators’ assignments and logistics.
  • Assist Deanery, Student Services, and Campus Operations with orientation, graduation, student trainings, and other larger student/campus events.
  • Monitor student progress and student attendance in liaison with Registry and Program Deans.
  • Manage timely communications to students through systems, email newsletters, and other media.
  • Advise students on academic questions or issues such as course choices and registration, assessments and grades processes in accordance with institutional policies and procedures.
  • Work with Deanery, Registry, and other Program Managers to support students on academic probation, going/returning from leave of absence, and any student requesting help with a transition to or from the school.
  • Support with the development of program presentation materials for prospective, confirmed and matriculated students.
Additional Responsibilities
  • Other duties as assigned.
  • Please note: occasional weekend and evening hours may be needed for course facilitation and other curricular events.
  • On campus Requirement - This position requires on-campus presence at least 4 days a week with 5 days during peak periods of the academic year. Current 1-day work-from-home (WFH) allowance must be coordinated with campus team to ensure adequate team coverage on campus. Note that the WFH allowance is subject to change in accordance with School review.
Qualifications And Competencies
  • Bachelor’s degree (Masters preferred).
  • Experience in academic coordination preferred.
  • Have a minimum of 2-3 years of full-time work experience in organizational, operational or logistical functions.
  • Be skilled in Word, Excel, PowerPoint and student management databases.
  • Familiarity with tools like Salesforce and Canvas.
  • Have excellent oral and written communication skills, in day-to-day dealings with faculty, staff, and students, both junior and senior.
  • Have a high attention to detail.
  • Have excellent project management skills, exceptionally well organized.
  • Be good at problem solving and have the attitude that “nothing is impossible.”
  • Be an independent thinker, able to use his/her own initiative and able to prioritize tasks and operate to tight deadlines.
  • A proven track record in administration and experience in an academic environment is preferable.
  • Native English speaker or fluent level of written and spoken English.
  • Proven track record and commitment to outstanding customer service.
  • Highly analytical with excellent problem solving and project management capabilities.
  • Flexible approach to work and able to maintain composure in a fast-paced environment.
  • A high energy and enthusiastic individual who thrives under pressure, can use their own initiative, prioritize tasks, and operate on tight deadlines.
  • Personable, persuasive and a strong influencer, with the ability to cultivate and maintain relationships.
