Job summary

The University of Miami is seeking a full-time Program Coordinator to join the UHealth Department of Public Safety in Miami, FL. The role focuses on coordinating daily program operations and ensuring alignment with university policies and mission.

The incumbent will assist with development, organization, production, and evaluation of the program, while providing administrative support, data analysis, and collaboration across schools and community partners.

Qualifications

Responsibilities

  • Acts as a liaison to program constituents.
  • Assist with preparation and/or delivery of program content.
  • Facilitates collaboration between different schools, community agencies, and/or academic support units throughout the University.
  • Coordinates the collection, compilation, and analysis of program activity data.
  • Drafts comprehensive, statistical, and/or narrative program reports and evaluations, and monitors program effectiveness.
  • Coordinates the scheduling of program components.
  • Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings.
  • Assists with the development and implementation of program marketing.
  • Provides administrative support to participants and program constituents in all administrative aspects of the program and maintains files and/or program data.
  • Adheres to University and unit-level policies and safeguards University assets.
  • Department Specific Functions Exercises discretion and independent judgment in the performance of daily responsibilities.
  • Coordinates and supports day-to-day operations of the Parking and Transportation program, including valet, self-parking, and shuttle services.
  • Supports the Director and Manager of Parking and Transportation in the administration of departmental operations, including scheduling, financial processes, reporting, work orders, SmartSheet reviews, validation account management, fleet operations, fuel management, and other operational initiatives.
  • Performs monthly financial reconciliation, auditing, and compliance activities for parking, valet, self-parking, and shuttle operations, including invoice reconciliation, validation reporting, revenue and labor reconciliation, change fund verification, PCI compliance documentation, ticket reconciliations, and sample audits.
  • Collects, organizes, analyzes, and prepares operational and financial data, reports, and documentation to support departmental planning, decision-making, and performance monitoring.
  • Monitors vendor performance, operational compliance, and parking technology systems, including periodic inspections of equipment and processes, to ensure adherence to established procedures, internal controls, and service agreements.
  • Coordinates and processes employee clearances, access requests, required documentation, and approvals for Parking and Transportation personnel, ensuring compliance with departmental procedures, service agreements, and operational requirements.
  • Provides administrative support to the Director and Manager of Parking and Transportation, including maintaining calendars, responding to inquiries, preparing correspondence, financial forms, reports, employee rosters, and other departmental documentation.
  • Maintains departmental inventories and coordinates the procurement of uniforms, parking supplies, and other operational materials as needed.
  • Resolves complex operational and administrative issues by exercising sound judgment and recommending appropriate solutions to support efficient departmental operations.
  • Ensures assigned work is completed accurately, timely, and in accordance with established quality standards, policies, and procedures.
  • Performs other duties as assigned.
