Job summary

Responsibilities

  • Maintain organized furniture inventory and program and office supply counts.
  • Track rent collections and identify incorrect or missing payments.
  • Order furniture and supplies from qualified vendors per Procurement Policy.
  • Track and report rent collections and escalate issues as needed.
  • Coordinate utilities payments and ensure timely processing of invoices.
  • Maintain keys inventory and staff/client Omny Cards; organize client documentation.
  • Assist with data entry, program reporting and compliance.
  • Oversee archival storage and secure disposal of client charts as required.
  • Communicate with clinical staff regarding resident care and behavior.
  • Assist with pantry orders and general administrative duties.
  • Participate in advocacy to end homelessness and HIV/AIDS.

  • Pay or shift range: $19 USD to $22 USD
    The estimated range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications and other job-related reasons.

Overview:

The Program Associate (PA) provides administrative and operational support for the STARS Housing Programs by placing Work Orders, ordering furniture, scheduling and receiving deliveries. The Program Associate orders program and office supplies and performs data entry and administrative tasks.

Responsibilities:
  • Maintain organized furniture inventory and program and office supply counts by developing an inventory and supply monitoring system that includes tracking of supplies and purchases.
  • Effectively and efficiently track rent collections to identify any payments that are not being made are being made incorrect amounts.
  • Order furniture and supplies from qualified vendors in accordance with Housing Works’ Procurement Policy.
  • Track and report rent collections, identifying and escalating missing, late, or incorrect payments.
  • Track and monitor Con Edison utility payments, maintain accurate payment records, and collaborate with Finance and Program staff to ensure invoices are processed timely, payments are made consistently, and outstanding issues are resolved promptly.
  • Maintain organization and accountability of apartment keys, including staff key sign-out logs.
  • Order, distribute, and track staff and client Omny Cards.
  • Collect, organize, and upload documentation for incoming clients.
  • Assist with the collection, organization, and maintenance of documentation required for contract monitoring, audits, and regulatory compliance.
  • Record meeting attendance and prepare meeting minutes for staff and community meetings.
  • Maintain organized electronic and physical filing systems.
  • Assist with data entry, data management, and program reporting.
  • Oversee the retention, archiving, off‑site storage, and secure disposal of client charts in compliance with program contracts, agency policies, and regulatory requirements.
  • Communicate with the clinical staff on resident behavior as well as the care of those on the fragile list.
  • Order and maintain pantry.
  • Perform other administrative and operational duties as assigned
  • Enthusiastically participate in advocacy and direct actions to end the twin crises of homelessness and HIV/AIDS.
Requirements:
  • High School Degree or GED.
  • Bachelor's Degree, preferred.
  • Three (3) or more years of related experience working with low-income and marginalized communities, as well as individuals with multiple chronic medical and/or behavioral health conditions.
