Job summary

Elon University seeks a Program Assistant for the Vera Richards Truitt Center for Religious and Spiritual Life on Elon Main Campus. The role supports daily operations, provides administrative assistance to the University Chaplain and CSRCS Director, and helps manage calendars and communications.

Position Summary

The Division of Student Life provides premier student-centered services, programs, and experiences that integrate in- and out-of-class learning, promote holistic student development, and facilitate student engagement in a vibrant, supportive residential community. Within the Division of Student Life, this position is part of the Vera Richards Truitt Center for Religious and Spiritual Life, and reports to the University Chaplain and Dean of Multifaith Engagement (85%). The position is also part of the Center for the Study of Religion, Culture, and Society (CSRCS), reporting to the Director of the Center for the Study of Religion, Culture, and Society (15%).

The Numen Lumen Program Assistant supports the overall day-to-day operations of the department and provides administrative assistance to the University Chaplain and Dean of Multifaith Engagement, and the Director of CSRCS. The Program Assistant must be highly organized and efficient with the ability to balance multiple tasks and responsibilities. They must have an acute understanding and passion for building inclusive communities, strong critical thinking skills, the ability to exercise good judgment, and must maintain a high level of discretion and confidentiality. They must always maintain an intense focus on accuracy with excellent written, verbal, and interpersonal communication skills, and the ability to work independently and as part of a team.

Minimum Required Education and Experience

High school diploma or GED plus three or more years of related experience and/or training required.

Preferred Education and Experience

Bachelor's degree and administrative work experience (including part-time or full-time positions) preferred.

Knowledge, Skills, and Abilities
  • Experience with budget management, managing online software, data entry, and customer service
  • Knowledge of and experience with Microsoft Office (Word, Excel, PowerPoint, Outlook), with skills in word processing, budgeting, data management, and customer service.
  • Strong written and verbal communication skills
  • Effective time management and ability to work independently, as well as to establish relationships and function within a team.
  • Excellent customer service skills and ability to respond effectively and compassionately with a diverse group of students, families, and colleagues across campus.
  • Must have an acute understanding and passion for building inclusive communities, strong critical thinking skills, the ability to exercise good judgment, and must maintain a high level of discretion and confidentiality.
  • Ability to manage multiple schedules, projects, and tasks simultaneously.
  • Supervisors of student employees implement the ElonGROW (Guided Reflection on Work) model in their supervisory practices by facilitating regular guided reflection conversations that connect workplace learning with students' broader educational and career goals, ensuring a consistent, developmental approach to student employment across the university.
Job Duties
  • Office Management Support Provide office-management support to the University Chaplain and Dean of Multifaith Engagement and the Director, CSRCS. Duties include opening and closing the office, maintaining a professional work environment, welcoming visitors, managing and directing phone calls, word processing, spreadsheets, editing, filing, and other tasks as assigned. Prepare communications to students, faculty, staff, and parents using email, Microsoft office applications, and other tools as appropriate—including social media, Collaborate and build relationships with campus partners to distribute information as necessary. Serve as front-line staff member for students, staff, faculty, and parents on inquiries related to departmental programs and services and address concerns and needs related to student support, well-being, policies and procedures, and resources. Provide primary calendar and scheduling support to the Director of CSRCS and its Multifaith Scholars Program, and secondary scheduling support to the University Chaplain and Dean of Multifaith Engagement. Responsible for maintaining departmental calendars, including scheduling appointments, coordinating, and scheduling various committee and group meetings and coordinating event management logistics for meetings and events. This includes space reservations, set-up requests, catering orders, and media needs.
  • Financial Processes Under the direction of the designated budget managers, reconcile purchasing-card transactions, maintain accurate operational-account records, monitor spending, and track and process professional-development requests and expenses.
  • Personnel Processes When necessary, provide back-up supervision of student staff, providing support and mentorship while encouraging professionalism in the workplace. Contribute to student success by ensuring skills and knowledge gained through student employment connect to classroom learning and future career competencies.
  • Other Duties
    • Maintain confidential files and information
    • Support university events, including, but not limited to: Convocations, Commencement, Family Weekend, and events related to Admissions and/or New Student Orientation
    • Serve on university, divisional, or departmental committees, task forces, and search committees
    • Other related duties as assigned by supervisors
