Job summary

CN Guidance & Counseling Services in New York seeks an organized administrative professional to support the Youth ACT Team. You will manage records, coordinate procedures, and assist with budgets and scheduling in a busy mental health program.

Work with the CN Guidance Youth ACT Team to deliver services to those individuals who are diagnosed with severe mental illness and whose needs have not been met by more traditional service delivery approaches.

EDUCATIONAL REQUIREMENTS:

GED or high school diploma required. College or business school graduate preferred.

EXPERIENCE REQUIRED:

Strong administrative skills. Experience working in a mental health setting and/or an office setting preferred.

ADDITIONAL REQUIREMENTS:

  • Current New York State Driver's License
  • Clean DMV Record
  • Proof of Motor Vehicle Insurance

DUTIES AND RESPONSIBILITIES:

  • Manages medical records, operating and coordinating the management information system, maintaining accounting and budget records for recipient and program expenditures;
  • Understands, oversees and reports on all office procedures. Orients new staff on proper office procedures.
  • Performs reception activities (e.g., triaging calls and coordinating communication between the program and recipients.
  • Overall responsibility for program administrative duties, including, but not limited to, processing new hire paperwork, clerical and office operations, ordering of office supplies and schedule vehicle maintenance.
  • Work closely with administrative staff in the areas of budget management, purchasing, time and leave management and human resources functions.
  • Coordinate Quality Improvement and Utilization Review activities including but not limited to data collection, analysis of outcome trends, and identification of service provision, which needs improvement.
  • Oversees staff schedules, in-office and outside staff appointments, sign-in/sign-out boards.
  • Oversees all external Agency correspondence for accuracy, appropriateness and responsiveness.
  • Identify and implement quality improvement trainings and activities as part of professional development goals
  • Complete QI Training during onboarding and participate in QI refresher training as needed.
